Summary


Smarsh is seeking an Executive Assistant to provide administrative support to key member of our Executive Leadership team. This role is ideal for people who love to be in the thick of the action while applying superior organization and communication skills to plan events, coordinate travel and schedules, and facilitate operations.

How will you contribute?


  • Manage executives’ calendars, helping to prioritize meetings and competing demands on executive availability.
  • Perform day-to-day administrative support services such as meeting schedules and facilitation, travel arrangements, expense reports, and other services.
  • Communicate effectively and as required to positively reflect the goals of the company and the best interests of the executive(s) you are supporting.
  • Draft, review and send communications on behalf of the company executives you support
  • Plan and produce onsite and offsite meetings.  Responsibilities include: securing the meeting location, managing attendee communication, agenda publishing, room layout, attendee travel, onsite catering, A/V services, meeting materials and supplies, expense reporting and event budget management, and any other related services.
  • Support smooth departmental operation during executive(s)’s absence. Maintain communication with executive(s) during periods of travel, prioritize communication, provide relevant updates, and facilitate or make timely decisions as knowledge permits.
  • Coordinate employee events hosted at your Smarsh location including community events, employee town hall meetings, quarterly all staff meetings, holiday and wellness events, and more.  Responsible for planning, communicating, hosting and handling day-of logistics and event operations.
  • Partner with Workplace Services to manage day-to-day operation of the Smarsh office location.  Maintain an organized, well stocked office and break room for employees and visitors (e.g., managing inventory and restocking of break room amenities and office supplies, tidying up meeting rooms and other community areas, distributing mail, visitor management, raising repair or maintenance requests to the Workplace Experience team, greeting new hires or interview candidates, etc.).
  • Prioritize & execute assignments in a fast-paced environment.
  • Resolve problems by using judgment that is consistent with our standards.
  • Work with a diverse team of people with different management styles.
  • Other duties as assigned including supporting other departments or executives as needed.

  • HS Diploma or equivalent
  • 4+ years of administrative support
  • Expert knowledge of MS Office 365
  • Excellent verbal & written communication skills
  • Strong time management skills
  • Approachable even when under stress
  • Superior interpersonal skills, and a team player with the ability to cultivate productive working relationships
  • Demonstrate a high degree of confidentiality
  • Represent the company to external contacts on behalf of the executive team

$70,000 - $90,000 a yearThe above salary range represents Smarsh's good faith and reasonable estimate of the range of possible base compensation at the time of posting. Any applicable bonus programs will be discussed during the recruiting process. The salary for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, location, specialty and training. Local cost of living assessments are done for each new hire at the time of offer.
