Position Summary:


The Coordinator, Talent Acquisition position will provide administrative support for Talent Acquisition and Staffing.

Essential Job Functions[1]:


1. In support of Recruiting:


  • Update candidate database and reporting within Applicant Tracking system and manually:
  • Maintain weekly candidate status report.
  • Update & maintain offer letter templates in HR library.
  • Administration of background checks.

New Hire Process:


  • Build and email offer packages.
  • New hire Announcement.
  • Order new hire welcome basket.
  • Build and schedule orientations to include individual and department meetings and updating master schedule.

3. Maintain job descriptions for all existing positions.


4. Assessment coordination & administration.


5. Interview scheduling and follow-up:


  • Coordinate candidate interview schedules.
  • Coordinate / administer candidate travel.
  • Write and send follow-up correspondence.
  • Coordinate travel.

6. Provide administrative support for internship program:


  • Contact local universities we are currently involved with and obtain requirements for unpaid HR Support internships.
  • Setting up templates and reporting required for unpaid HR internships.

7. Invoice processing:


  • Candidate expenses.
  • Candidate testing invoices.
  • Advertising and job board invoices.

8. In support of the broader HR team:

  • Provide support with invoices and expense management
  • Help maintain employee files and provide support in documentation of HR practices and employee transactions
  • Provide ad hoc reporting and data-base support
  • Provide administrative support for other HR programs to include; open enrollment, performance management and employee relations

9. Other duties and responsibilities as assigned


Education and Experience:


  • Bachelors degree
  • Experience in an office setting, preferably in HR capacity
  • Previous experience with an ATS or HRIS desired but not required
  • Prior experience with Microsoft Teams (or other platforms such Zoom, Google Meet, WebEx)
  • Membership in local or school based SHRM chapter preferred or APHR

Knowledge, Skills and Abilities:


  • Strong desire to grow HR skill set
  • Attention to detail.
  • Excellent Microsoft office and Outlook skills to include strong understanding of PowerPoint, Excel, Word (Visio is a plus).
  • Organizational skills.
  • Strong written and verbal communications skills.
  • Strong customer service orientation required
