Job Description:
Dynamo Technologies LLC is looking to hire a highly organized and detail-oriented Administrative Support Specialist to join our team in support of the office of PM PNT (Program Manager, Positioning, Navigation, and Timing). The ideal candidate will be proficient in Microsoft Suite of products and have a strong understanding of office administration procedures. The Security & Program Protection Directorate requires program protection subject matter expertise (e.g. CPI and ICT critical component identification, supply chain risk management, anti-tamper, exportability features, secure design, and cybersecurity) to ensure adequate protection measures are incorporated across the entire PM PNT portfolio and throughout each product's lifecycle.
The PM PNT program provides administrative, business management, programmatic contracting, information technology (IT), program management, engineering, logistics, test and evaluation (T&E), training, operations, security, technology protection, foreign military sales, and acquisition and strategic planning services to the Army director PNT systems. The SETA services provided to PM PNT shall support the planning, development, management, sustainment, and execution of the U.S. Army’s PNT portfolio. PM PNT provides coordinated PNT system of systems architecture and associated PNT products for the Army’s mounted and dismounted platforms.
PM PNT is the Army’s lifecycle manager for the Mounted Assured PNT System (MAPS), Dismounted Assured PNT System (DAPS), Assured Protection and Alt Nav Technology Development; and the Resiliency and Software Assurance Measures (RSAM), as well as any future PNT efforts in both the Contiguous United States (CONUS) and outside the contiguous United States (OCONUS).
Duties/ Responsibilities
This position is hybrid requiring 2-3 days on site in Aberdeen, MD. The specific duties include but are not necessarily limited to the following:
Responsibilities:
- Review general office correspondence for accuracy, regulation compliance, completeness, and adherence to AR 25-50.
- Maintain records of all office correspondence signed by PM PNT leadership on the PM PNT SharePoint site and ensure that records are updated to the current, final version within two (2) business days of document revision notification.
- Receive visitors to the PM PNT office space and escort them to the appropriate personnel or scheduled meeting space.
- Provide telephone answering services for PM PNT, Deputy PM PNT, Product Managers, and Deputy Product Managers, refer callers to the appropriate staff, and take messages when necessary.
- Manage, update, and schedule meetings for executive-level calendars, including establishing times based on PM PNT leadership availability.
- Answer questions from PM PNT staff related to executive schedules and other office-related matters.
- Ensure conference rooms are scheduled, meeting invites are sent, and teleconference/video teleconferencing (VTC) or other collaboration connections are established and shared via email no less than one week prior to meeting start time.
- Coordinate, prepare, and submit travel authorizations and vouchers in support of official temporary duty (TDY) utilizing the Defense Travel System (DTS) for PM PNT Leadership.
- Maintain and order office supplies as necessary for the office of PM PNT.
- Create, format, and correct grammar, syntax, and spelling in draft PM PNT program and acquisition documentation.
- Review and correct PM PNT memoranda to be in accordance with Army Regulation 25-50.
- Plan, coordinate, organize, implement, and prepare Reports and Records of Meeting/Minutes (IAW CDRL A010) for PM PNT events as required.
Required Skills / Abilities:
- Must have an active Secret Clearance.
- Proficiency in the Microsoft Suite of products.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Knowledge of office administration procedures and regulations, including AR 25-50, is preferred
- Previous experience in administrative support roles or similar positions is desirable.
Nice to have skills:
- Experience with Defense Travel System (DTS) is a plus.
Education and Experience:
A Bachelor's Degree in a specialized field plus a minimum of 2-3 years of applicable experience; or,an Associate’s Degree plus a minimum of 4 years; or aminimum of 7 years of specialized experience.
