About the role:
The Project Coordinator organizes and manages the various parts of the Project Management Office (PMO) project process to ensure its success. This impactful role provides key project management, operational, and administrative support to the project team and focuses on achieving specific deliverables, parts of projects, and/or sub-projects. The main contributions for the Project Coordinator include scheduling, organizing, data gathering, progress updating, recordkeeping, and reporting. This role is ideal for someone who has a passion for project management and is highly organized, proactive, and a great multi-tasker who can work collaboratively across a diverse team.
What You’ll Do:
- Intake all executed projects into the Professional Services queue including organizing all relevant documentation needed for individual project assignment .
- Coordinate and schedule meetings associated with kicking off new projects.
- Ensure the necessary resources for each project in the queue are identified and assigned; ensuring team members receive the resources they need to complete their assigned project tasks. This includes project resource assignment and scheduling within the project resource request queue for all internal and external team members.
- Manage the customer satisfaction survey (CSAT) process including surveys are sent out on a regular cadence, responses are received, and feedback is summarized and analyzed.
- Collect and log weekly Key Performance Indicator (KPI) data for analysis by the Professional Services Leadership team.
- Collect and send weekly reports, as requested.
- Organize and manage all approved travel requests for the Professional Services team.
- Manage all engagements that do not have a Project Manager, to include blocks of hours, initiatives of 16 hours or less, or jobs that go direct to internal teams without a Project Manager.
- Work to continually increase job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations (approximately 2 hours per week).
- Strive to enhance department and organizational initiatives by accepting ownership of new and different requests and exploring opportunities which add value to job accomplishments.
What Skills & Experience You'll Need:
- 1-2 years of related project coordination experience.
- A passion for project management; PMP and/or ITIL Foundation certification preferred.
- Demonstrated, proven, and polished "soft skills" including:
- Diplomacy and ability to navigate challenging situations
- Strength and confidence.
- Outstanding interpersonal, written and oral communication skills
- An aptitude for technology.
- Well versed in stakeholder management with an ability to get the right recommendations into the right hands to ensure timely completion and executive buy-in.
- Passion for staying on the cutting edge of technology.

- Proven analytical and problem-solving abilities.
