The Position:As the proposal coordinator, you will work on editing and designing the finalized proposal document. You will also work to communicate the proposal in various ways, including graphic layouts and PowerPoint presentations. You will develop proposal outlines using the template and work with the proposal team to meet deadlines.
In many situations, you could be working on multiple proposals simultaneously and communicating the progress of the proposal status at proposal meetings. You will need to be skilled in Microsoft Office (Word, Excel, PowerPoint), Microsoft SharePoint, Microsoft Teams, and Adobe Acrobat Pro. As a proposal coordinator, you will need to be able to proofread an entire proposal accurately. You will work closely with your manager and teammates to ensure your content is accurate, delivered on time, and compliant with Agency’s solicitation requirements.
Role Specific Duties:
- Create and maintain compliance matrices for proposal development to ensure RFP instructions, evaluation criteria, and guidelines are met and all documents are compliant with the RFP requirements.
- Maintain Proposal SharePoint Directory by creating and sharing working folders to manage proposal development for RFP/RFQs/RFIs/Sources Sought/Market Surveys, including proposal shredding and other post-proposal submission activities.
- Develop, monitor, and update proposals schedules and points of contact and ensure proposal deadlines (internal and external) are met.
- Collaborate with various staff and departments to ensure data requests and other proposal documents are completed by targeted due dates.
- Coordinate proposal graphic design and production with the graphic team to ensure all proposal graphics are delivered on schedule and properly annotated for insertion into the proposal.
- Write and edit proposal sections, resumes, past performance, white papers, and reports.
- Pay strict attention to detail; must have the ability to review and edit content for clarity, grammar, and proper use of technical or customer terminology.
- Research, outline, write, and edit new and existing content, working closely with various departments to understand project requirements.
- Support the proposal project team in developing executive-level briefings and presentations.
- Gather proposal information by identifying sources of information and collecting and communicating risks associated with proposals.
- Keep a consistent style and writing standards, ensuring technical accuracy, and devotion to documentation standards under tight deadlines.
- Ensure processes are followed and all deliverables are of high quality and align with the corporate brand and message.
- Maintain a solid working knowledge of the company’s product and service offerings.
- Perform research and additional duties as assigned.
Required Qualifications:
- Bachelor’s degree or higher in Information Technology, English, Journalism, Communications, Marketing, or similar.
- 2+ years of experience with proposal coordination and writing.
- Strong writing, editing, and verbal communication skills.
- Strong analytical skills, ability to visualize information, and communication with multiple audiences.
- Self-starter; works effectively and productively with limited supervision.
- Maintaining a strong work ethic and willingness to collaborate on a team is required.
- Excellent time management and organization skills
- Ability to work in a time-sensitive environment and meet all deadlines.
- You have strong knowledge of Microsoft Word, Microsoft Excel, Microsoft SharePoint, Microsoft PowerPoint, Microsoft Teams, and Adobe Professional
- US Citizens only. Candidates will have to undergo public sector MBI Clearance.
