As a core business unit of LF, the Event Team (composed of 50+ event management, sales and marketing professionals) manages over 150 global events and conferences each year, ranging from 50 to 20k attendees. We host in-person, virtual and hybrid events.

Job Description


The Linux Foundation is seeking a highly organized and detail-oriented Sponsorship Sales Operations Coordinator to play a pivotal role in supporting our Event Sales Managers across a dynamic portfolio of events. This specialist role is essential for enhancing sales efficiencies, managing sponsorship contracts, and ensuring seamless coordination between sales, legal, finance, and event operation teams. With a strong emphasis on precision and expertise in Salesforce, the Sponsorship Sales Operations Coordinator will be instrumental in driving the success of our sponsorship sales process from inception to completion.

Key Responsibilities:


  • Design and maintain product catalogs in Salesforce, detailing sponsorship benefits and pricing to support sales initiatives.
  • Lead the entire sponsorship contract process: Generate, edit, and finalize contracts, collaborating closely with customers, legal, finance, and internal stakeholders to address redline, secure agreements, and process invoice requests and POs.
  • Engage in proactive communication with sponsors, returning signed contracts and introducing them to the operations team for the next stages of their sponsorship journey.
  • Respond promptly to sponsorship inquiries, providing detailed information and answering questions to aid in the decision-making process.
  • Develop and present reports and spreadsheets that track sales progress, sponsorship contract status, sales deadlines, sales goals, and other key metrics to inform strategic decisions and improve sales outcomes.
  • Assist the event sales managers throughout the sales process: keeping documents updated with all progress, assuring all sales targets are being contacted, finding new contacts/leads, creating and updating opportunities and reports in Salesforce/HubSpot, and more.
  • Curate event target list for each event and help organize messaging to use for sponsorship promotions.
  • Research competitive events for each of our events and organize a list of potential sponsors and contacts for outreach.

Qualifications


Who We Are Looking For:


  • Strong attention to detail
  • Highly organized timeline management
  • Excellent interpersonal, organizational, and communication (both written & verbal) skills - required and an absolute must
  • 2+ years experience in a sales assistant/coordinator environment required. Experience within events and/or tech is a plus.
  • 2+ years of customer service/customer facing experience required
  • Self-starter, who can operate both independently and within a dynamic team environment
  • Able to handle shifting priorities and deadlines
  • Excellent team and customer service orientation
  • Prior experience with Salesforce is required, including building reports and updating records and opportunities.
  • Prior experience with HubSpot strongly preferred, including creation of contracts
  • Prior experience with Google Workspace is a plus
  • Bachelor's Degree in Business Administration or a related field
