The Role
Nabis is seeking a highly organized Business Coordinator to support the entirety of the executive team. Sitting in the People Department and reporting to the VP of People, the Business Coordinator must possess exceptional levels of discretion, communication, attention to detail, and strategic planning. As a shared services hire, this role will be responsible for executive priorities, supporting broader corporate calendar planning, managing high-stakes meetings and communications, and assisting with general ad-hoc projects that cover a multitude of priorities and departments.
Some weeks may be heavy on planning off-sites or company communications, and others may be focused on strategic cross functional projects. The ideal person is someone who is extremely self-motivated, professional, and has uncanny logistical and organizational skills. We are looking for the future Chief of Staff at Nabis, someone who has experience working with executive-level management and who can work independently and at times as a true generalist.
Responsibilities
- Provide administrative and logistical support with calendar management, travel arrangements, and expense reporting for senior leadership.
- Coordinate all company-wide meetings, including presentation preparation, setting deadlines, communicating cross functionally, and executing on presentations flawlessly.
- Initiate communication and requests for information at the direction of the VP of People or as delegated by any executive or department: Operations, Finance, Revenue, Administration, Technology, Legal.
- Lead and track cross-functional initiatives, facilitate special projects, and ensure action items are executed on behalf of the executive team.
- Attend Monthly Business Reviews and other regularly scheduled business meetings and provide detailed notes, action items, and next steps.
- Manage project planning and execution, leveraging project management best practices to achieve goals, mitigate risks, and maximize team performance.
- Serve as the point of contact between departments and executive leadership and provide support for all general business operations for the organization.
- Review and track related budgets and create costing scenarios.
- Collaborate with the Executive and People teams to coordinate internal and external meetings, locations, and facilities, and provide support to the recruiting team for scheduling as well as travel for leadership level accommodations.
- Build and maintain the Nabis Confluence and Wiki page in collaboration with the People Operations Department.
- Support with IT functions such as asset management, inventory tracking, managing external IT, and other administrative and office management functions as assigned.
Required Qualifications and Skills
- 3-5 years of professional administrative experience, preferably supporting high-level executives and strategic projects
- Advanced Word, Excel, and PowerPoint skills
- Strong organizational skills, attention to detail, and the ability to multitask with ease
- Solid business and financial acumen
- Exceptional written and verbal communication skills
- Ability to effectively interact with stakeholders at all levels within the organization
- Ability to exercise discretion and maintain confidentiality in carrying out all responsibilities
