What You'll Be Doing:
Greet and assist visitors, clients, and vendors in a friendly and professional manner
Manage event calendars & assist the People team with general calendar support and candidate experience support
Receive and distribute all deliveries
Organize and maintain office files, records, and documents
Assist with preparing and tracking documents for the legal and finance team
Maintain office and kitchen supplies and inventory, and order new supplies as needed
Organize and maintain common areas such as the kitchen and conference rooms
Coordinate daily lunch orders for the office, working with vendors to arrange meal delivery
Set up and break down the lunch setup after the meal, cleaning and organizing the area
Assist in organizing team and company events with the Office Manager & EA team
Assist with coordinating travel arrangements for conferences
Assist in budget tracking, expense reporting, and invoice processing
Assist with the set-up and coordination of weekly company meetings
Perform other duties as assigned
What We're Looking for:
2-4 years of experience in an administrative or office coordination role
Strong communication and interpersonal skills
A passion for enhancing company culture and a proactive approach to organizing engaging events to create a fun, social office environment
Basic understanding of event planning, including food & beverage
Proficiency in Google Suite
Notary Certification or a commitment to obtain certification shortly after joining the team
Excellent organizational and multitasking abilities
Attention to detail and accuracy
Ability to maintain confidentiality and handle sensitive information
A positive, proactive, and team player attitude
Willingness to be agile and jump in wherever is needed. We are a startup!
Ability to work Monday - Friday onsite at our offices in Culver City, Los Angeles, California
