POSITION: Guest Operations Specialist


The Guest Operations Specialist is responsible for upholding the Furnished Quarter’s cleanliness and appearance standards in our apartments. Primary responsibilities include preparing apartments for our guests by conducting cleanliness inspections, WiFi and TV equipment testing, liaising with the Housekeeping vendor, and building maintenance to make our units perfect. Adhering to the Design Guide, the Guest Operations Specialist ensures the proper placement of all furnishings and household goods and maintains guest-supply par levels.

This role participates in the rotational after-hours, on-call program, handling guest issues, including guest lockouts and emergencies. Hours: Monday-Friday 9AM-5:30PM.

ESSENTIAL FUNCTIONS


  • Demonstrate the Furnished Quarter’s Core Values in all guest, vendor, and colleague interactions.
  • Conducts cleanliness inspections and ensures furniture placement according to Furnished Quarters’ Design and Housekeeping Standard Operating Procedures (pre-move-out, departure, and pre-move-in inspections). 
  • Works with the Housekeeping vendor’s management team and inspects their work to ensure that cleanliness and design standards are maintained, reporting deficiencies and discrepancies to Furnished Quarters management.
  • Handles general preventative maintenance in apartments, including minor scratches to floors and furnishings; performs minor repairs on items such as beds, chairs, drawers, (etc.); removes scuff marks from walls/performs touch-up painting. 
  • Identifies and reports damages to furnishings and apartments or the general condition of apartments not meeting Furnished Quarters’ standards to management.
  • Troubleshoot cable, WiFi, and equipment problems.
  • Conducts inventories of warehouse supply par levels & guest supplies, reporting supply counts to management.
  • Establishes and maintains working relationships with building staff (building superintendent/management, maintenance staff, concierge, and door attendants).
  • Updates cases in SalesForce, entering all required information via hand-held tablets.
  • Participates in after-hours, weekend/overnight On-Call program. 
  • Secures and maintains custody of equipment, keys, and supplies to protect and preserve the company and guest property. 
  • Reports to the primary office location and travels to multiple worksites during business hours.
  • Maintains a professional appearance and friendly attitude towards clients and colleagues.

ADDITIONAL DUTIES


  • Assists the Warehouse with shipping and receiving, checking the merchandise, and matching purchase orders to sales orders.
  • Accurately fills requisitions, work orders, or requests for materials, tools, or other stock items.
  • Moves materials and items from receiving or storage areas to shipping or other designated locations. 
  • Reads work orders, shipping orders, or requisitions to determine materials for distribution or shipment.
  • Records amounts of materials or items received or distributed. 
  • Returns cable equipment to the respective cable provider.
  • Responsible for sweeping, mopping and dusting the warehouse storage areas. 

REQUIRED SKILLS & QUALIFICATIONS


  • High School Diploma or equivalency required.
  • 1-2 years related housekeeping or operations experience in the hospitality industry required. 
  • Basic computer knowledge and the ability to operate a hand-held tablet.
  • Knowledge of general cleaning principles, use of cleaning products, and operation of standard cleaning equipment. 
  • Regular travel on public transportation to multiple work locations throughout the day in specific markets (e.g., Manhattan/Brooklyn).
  • Possess a valid driver’s license and the ability to operate, and maintain a company vehicle for roles based in specific markets (e.g., San Francisco/Bay Area, Boston/Cambridge, Jersey City, White Plains).
  • Ability to understand and follow verbal/written instructions in English and communicate verbally and in writing in English to colleagues, management, and guests.  
  • Participate in the rotational after-hours, weekend/overnight on-Call program. 

PHYSICAL REQUIREMENTS


  • An employee must meet the physical demands described here, with or without accommodation, to perform the essential functions of this job successfully.
  • While performing the duties of this job, the employee is regularly required to speak with staff, vendors, and customers.  The employee must frequently sit, stand, and walk, and must be able to lift, bend, stoop, climb, reach, and lift up to 50 pounds at a time to complete apartment setups, deconstructs, and general cleanliness inspections.
  • The employee is required to review text approximately 20 inches or less (i.e., working with small objects or reading small print), including using computers.
  • The employee must frequently enter text or data into a computer or other machine.
