We are hiring for a Senior Buyer to join our growing Operations team. This role is responsible for the planning and procurement of commodities, materials, supplies, capital equipment, reagents and services, many of which are highly technical and require the application of complex procurement standards and procedures, including negotiation. The Senior Buyer prepares detailed bid specifications, requests for quotations / proposals for commodities and services, and places purchase orders, as requested by the Nautilus scientific team.

The Senior Buyer expedites the ordering and delivery process for commodities or services using NetSuite ERP system and assures invoice payment by monitoring the process from initiation of a purchase order through the receipt of the goods or services, and billing from the vendor or supplier. They will oversee proactive management of lab and experimental material supply, cost and inventory management, and capital equipment. This role requires advanced critical thinking and writing skills in the development and evaluation of the more complex requests for proposals for commodities and services. The ideal candidate is a skilled team leader with excellent attention to detail, the ability to work independently, and to collaborate and communicate effectively with all levels of the organization. This position is located in San Carlos, CA and requires an onsite presence.

Responsibilities:


Inventory Management


  • Manage lab stock room supplies including proactive inventory management and FIFO control

  • Track inventory; monitor material shelf life and expiration dates; disposition of obsolete or defective material

  • Run weekly Material Review Board (MRB) meetings

  • Monitor inventory levels, track deliveries, and ensure on-time delivery of goods and services

  • Facilitate setting up and maintaining VMI for the stockroom

Supplier Management


  • Maintain criteria for managing suppliers

  • Manage and maintain relationships with existing suppliers, monitoring their performance and addressing any issues that may arise

  • Cost Reduction Efforts

  • Identify cost-saving opportunities and propose programs to optimize procurement processes and reduce expenses

  • Develop and implement procurement strategies and plans in line with company goals and objectives

Forecasting of Requirements


  • Collaborate with cross-functional teams to understand their requirements and provide procurement solutions that meet their needs

  • Proactively engage with the scientific teams to understand ongoing lab supply and reagent needs and ensure availability of supplies to meet experimental schedules

  • Submit forecasts to suppliers to ensure materials availability

Purchasing Management


  • Place purchase orders in a timely manner; negotiate cost and delivery lead times

  • Maintain accurate records of purchases, contracts, and supplier information

  • Coordinate with the logistics partner for freight management and customs clearance

  • Work cross functionally with the Finance team to ensure the development and the administration of purchasing policies and report metrics related to cost/inventory management, and order fulfillment

  • Conduct market research and analysis to identify trends, market conditions, potential risks and cost reduction opportunities

  • Provide metrics and reporting necessary to run the business

Requirements



  • A minimum of 5 years of relevant work experience at a life sciences / biotech company is required

  • 3 years' experience in working with suppliers to life sciences companies, to include contract and cost negotiations

  • Strong core skills associated with supplier management, negotiations and planning

  • BS/BA degree or an equivalent combination of education and experience

  • Skilled leader with strong communication skills

  • Operates Autonomously/ Independently; sets own priorities that align with business needs

  • Must be comfortable working in a collaborative environment and support the Operations department needs as required

  • Strong understanding of supply chain, supplier management, purchasing, negotiation and inventory management principles

  • Prior experience working in an ERP system, NetSuite experience preferred

  • Strong MS Office skills

  • Excellent organization skills and demonstrate a sense of urgency with a customer focused attitude

  • Ability to lift packages weighing up to 50 lbs
