Summary
The Event Operations team oversees the planning and execution of in-person and virtual events at iU. From ideation to post-event evaluation, the team ensures each event reflects the partner's branding and vision while maintaining iU’s standard. The Event Manager will be responsible for low to medium complexity projects, showcasing their ability to think critically about timeline, budget, resources, and quality.
What you'll do:
- Develop, manage, and track event budgets
- Negotiate and maintain contracts with vendors, ensuring cost-effectiveness and compliance with budget constraints
- Design and oversee the execution of event timelines, including setup, actual event, and breakdown
- Manage all logistical aspects, such as stage management, transportation, housekeeping, security, and auxiliary services
- Coordinate front-of-house activities, including seating arrangements and ushering
- Act as the primary liaison for speakers and staff, handling all communications, scheduling, and logistics
- Oversee the recruitment, training, and management of event staff and volunteers, including creating staffing plans and establishing uniforms
- Collaborate with web teams for ticketing strategies and digital content management
- Ensure accurate and up-to-date event information on all platforms, including the event website
- Proactively manage web content as needed to enhance guest experience
- Maintain regular and effective communication with all internal stakeholders involved in the event
- Provide timely updates and reports on event status, challenges, and progress to management
- Contribute to department meetings with suggestions for process improvements
- Responsible for proactively learning and adopting new technologies and innovative practices to elevate work and overall efficiency
What we'll love about you:
- 1-5 years experience in event or hospitality management, preferably within an agency
- Negotiation and stakeholder relationship management skills
- Exceptional written and verbal communication skills, particularly in a hybrid work environment
- Skilled in Microsoft Office, Google applications, Zoom, and other forms of digital communication; experience with Monday.com is a plus
