Position Overview:
The Program Coordinator and Scheduler will play a crucial role in supporting the Enterprise Transformation team. This individual will be responsible for coordinating various program activities, maintaining schedules, ensuring that all project milestones are met on time, and ensuring the efficient flow of information within the organization. The ideal candidate will have a strong background in project management, excellent organizational skills, and experience with MS Project. This is a contract position for three months with the potential to extend.
Key Responsibilities:
Program Coordination:
- Assist in the planning and execution of enterprise transformation initiatives and their implementation
- Coordinate and schedule meetings, workshops, and other program-related activities
- Prepare and distribute meeting agendas, minutes, and follow-up action items
- Communicate with stakeholders to ensure alignment and understanding of project objectives and deliverables
- Handle incoming and outgoing communications and directing them to the appropriate parties as necessary
- Maintain the program-wide task tracker and proactively identify deviations from plans
Scheduling:
- Develop and maintain detailed program schedules using MS Project
- Track and report on project progress, ensuring that timelines are adhered to, and milestones are achieved
- Identify potential scheduling conflicts and proactively address them to keep the project on track
- Update and adjust schedules as necessary in response to project changes and priorities
Documentation and Reporting:
- Maintain comprehensive project documentation, including schedules, status reports, and risk assessments
- Generate and distribute regular project status reports to stakeholders and executives
- Assist in the preparation of presentations and reports for project reviews and executive briefings
- Ensure all documents are correctly filed and easily accessible
Collaboration:
- Work closely with project managers, team leads, and other stakeholders to ensure seamless communication and coordination
- Facilitate collaboration across various teams to support the successful delivery of transformation initiatives
- Assist with special projects and initiatives as assigned by the program manager
Qualifications:
- Bachelor’s degree in: Business Administration, Project Management, or a related field
- Minimum of 3-5 years of experience in a program coordination or scheduling role
- Proficiency in MS Project is essential
- Strong understanding of program management principles and methodologies
- Familiarity with federal government processes and regulations is highly advantageous
- Active security clearance preferred
- Excellent organizational and multitasking skills
- Strong communication and interpersonal skills
- Detail-oriented with a strong focus on accuracy and quality
- Ability to manage multiple priorities and work under pressure to meet deadlines
Minimum/Basic Qualifications:
- Strong organizational abilities to manage schedules, resources, and program logistics
- Effective verbal and written communication for coordinating with team members and stakeholders
- Ability to take detailed and accurate meeting notes
- Summarizing large sets of information into themes and key messages
- Flexibility to adapt to changing program needs and handle unexpected challenges
- Basic understanding of MS Project or other scheduling software
