Job Summary
We are currently seeking a Medical Records Specialist to join our medical records team as we continue to grow and provide patient services on a national scale. This role will report directly to a Medical Records Manager and will assist with maintaining patient data and completing daily tasks related to incoming and outgoing records requests. They will ensure the information contained in all patient records is complete, accurate, and secure. They will be responsible for retrieving and providing records and data for medical personnel or patients, as needed.
This role requires strict HIPAA compliance and is responsible for safeguarding all patient medical documentation on behalf of the organization. Brave currently employs 150+ licensed providers, including behavioral health therapists, Nurse Practitioners, and physicians/psychiatrists, and will continue to grow and hire additional providers to the team. Growth startups are a different stage and environment than large, established companies so preference is given to candidates with prior experience in a high growth environment. This individual can be based anywhere in the US and will work remotely from home, as does our entire national team.

Responsibilities
- Evaluate and prioritize incoming and outgoing records requests
- Review, validate, and process patient documents for Release of Information / Document Review / Record Retrieval for requesting individuals and entities
- Verify and review all forms and documents in case of errors, missing information, legibility - Ensure Brave ROIs on file are current and secure new ones for expired ROIs.
- Interface with patients as needed, providing exceptional customer experience - Diligent maintenance of medical records tracker, ensuring status is current
- Respond to external medical records audit requests in timely manner, ensuring records are in requested format as well
- Gather and deliver on patient Letters of Service and Progress Updates
- Draft documentation requests for approval by supervisors
- Liaise effectively with third party requestors, e.g. law enforcement officials, other providers, attorneys
- Perform regular quality checks to ensure accuracy and confidentiality of records - Responsible for client / partner satisfaction through all stages of the medical records operations process
- Adhere to all HIPAA and confidentiality policies
Qualifications
- 2+ years of experience working in medical records
- Excellent analytical skills and proficiency in ICD -10 – CM coding standard, CPT-4 terminologies, and HCPCS coding
- Extensive knowledge of client-specific process rules and regulatory requirements - Expertise in medical terminologies ; Behavioral Health experience a plus
- Proven professionalism in written and verbal communication with clients - Excellent time and workload management skills
- Demonstrate tenacity and problem-solving skills
- Remote work experience strongly preferred
