We have an exciting new opportunity at Grunt Style as the Payroll & Benefits Specialist. This role supports all areas of our Employee Benefits Programs and processes bi-weekly payroll through Paylocity HRIS.
Job Summary
The Payroll and Benefits Specialist will report to the HR Manager and is responsible for full-cycle, bi-weekly, multi-state payroll management/execution, and benefits management. This individual will be the main point of contact for approximately 425 employees for all benefit, payroll and payroll tax matters. The ideal candidate will have a strong work ethic, be detail-oriented, and have the ability to work both as a team and independently. Position will be an active member of the Grunt Style Human Resources team in Carol Stream, Illinois and San Antonio, Texas
Job Duties and Responsibilities
Payroll
- Oversee end-to-end payroll process for a multi-state workforce for approximately 425 employees, including full-time and part-time employees.
- Accurately calculate payroll, including deductions, garnishments, and other adjustments
- Ensure compliance, consistency, and accuracy with federal and state regulations in payroll practices across different states
- Monitors and audits time and attendance inputs for accuracy and compliance with company policies
- Reviews payroll reports and makes any necessary adjustments or corrections to ensure accuracy
- Resolve all payroll discrepancies, process adjustments, manual checks, and answer employee and management inquiries
- Provide training related to payroll processes and create SOP’s
Benefits (Health & Wellness)
- Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, retirement plan, and compliance reviews of all plans.
- Research employee benefits plans and vendors to identify those that present the best value and fit for Grunt Style.
- Design, recommend and implement new programs. Examine possible plan designs and benefits cost changes.
- Serve as primary contact for plan vendors and third-party administrators.
- Coordinate transfer of data to external contacts for services, premiums, and plan administration.
- Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.
- Oversee maintenance of employee benefits data and update employee payroll records.
- Audit vendor invoices for accuracy.
- Perform plan audits. Prepare, collect, and organize data for annual 5500 compliance filings.
- Provide customer service support and develop communication tools to enhance understanding of the company's benefits package.
- Design and distribute materials for benefits orientations, open enrollment, and summary plan descriptions.
- Manage all leave of absence and medical accommodation programs.
HR Administration
- Serves as the primary administrator for our temporary workforce including time keeping, conversions & invoicing
- Assist with employee engagement events & activities

Required Education and Experience
- Bachelor’s degree in Human Resources Management, Business Administration, or related field
- Minimum 7 years of full-cycle payroll experience
- Proficient knowledge of Paylocity
- Minimum of 3-5 years of experience in benefits administration
- Solid foundation in US leave administration
- Bilingual preferred
- SHRM-CP or SHRM-SCP a plus

Position Type/Expected Hours of Work
This is a full-time position. Hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m., 40 hours per week. Must be able to work extended hours as needed, to include weekends and holidays.

Occasional travel may be required for this position.
