At 365, we are committed to supporting our customers and employee’s success!As the People Operations Coordinator, you will play a vital role in supporting daily employee operations and ensuring a smooth and efficient work environment with a strong emphasis on customer service in our Troy, MI office.
This role reports to the Manager of People Operations. Your attention to detail and excellent organizational skills will be instrumental in maintaining our employee processes and enhancing overall productivity. Your role significantly contributes to the company's retention rates, employee satisfaction, and overall productivity by ensuring a positive onboarding experience for new team members.
Responsibilities
As the People Operations Coordinator, you will be responsible for the oversight and delivery of both in-person and online employee onboarding, including but not limited to:
- Orientation: Conducting orientation sessions to introduce new hires to the company culture, policies, values, and organizational structure - both in person and remotely – for our business operations in the US, the UK, Latin America, the Netherlands, and more!
- Conducting office tours, coordinating seating location, collaborating with IT for new hire equipment, performing check-ins with hiring managers, funding 365 employee market accounts, updating office signage, and ensuring a white-glove orientation process for all new hires.
- Paperwork and Compliance: Assisting new employees with necessary paperwork, ensuring compliance with regulations, and guiding them through the HR and administrative processes.
- Support and Guidance: Serving as a primary point of contact for new hires, addressing questions, providing support, and guiding them through their initial days at the company.
- Feedback and Improvement: Gathering feedback from new employees to enhance the onboarding process, making it more effective and engaging.
- Assisting with conducting check-in updates at 30, 60 and 90 days with newly hired employees to ensure continued job integration.
- Maintain employee records and databases, including uploading employee documents into our employee records systems, updating employee information and maintaining data integrity.
- Maintain and keep inventory for company swag store.
- Fund employee market accounts for all Troy, MI office location employees.
- Coordination with other office locations to ensure proper employee market account funding.
- Ensuring our company organization chart stays up to date.
- Owning the admin portion of the employee event calendar for employee engagement by planning office gatherings, holiday events, and employee celebrations for the Troy, MI office location. Partnering with other office locations to ensure regular, coordinated employee events take place to provide for diverse employee event experiences.
- Planning and organizing the community outreach for volunteer opportunities for the Troy, MI office location. Partnering with other office locations to ensure regular community involvement and partnership for continued brand recognition.
- Performing regular office duties such as ordering office supplies for the Troy, MI office location and the individual office locations in the US, as well as planning company lunches for executive, sales or special customer guest meetings at the Troy, MI office location. Continually working with the Manager of People Operations to recommend opportunities for these processes to be more efficient.
- Assisting with our summer internship programs.
- Developing, organizing, and maintaining an information warehouse of employee incentives and discount programs.
- Assisting with offboarding processes as delegated by the Manager of People Operations or other HR personnel including conducting exit interviews, processing any e-forms or paperwork, or other duties.
- Other duties assigned by the Manager of People Operations.
Requirements
- 1-2 years of experience in Human Resources or related field
- Possess a positive attitude and works well under pressure
- Able to work independently as well as part of a team
- Self-motivated, detail-oriented and organized
- Excellent communication (oral and written), interpersonal, organizational, and presentation skills
