Job Description:
FM Talent seeks a Head Start Administrative Assistant to provide administrative support to the ACF HS Federal Office. This position is based at the Region II office in New, NY.
Responsibilities
- Support covering front desk as needed.
- Writing meeting minutes.
- Identifies client requirements by establishing personal rapport with clients and other persons in a position to understand service requirements.
- Collects data by identifying sources of information.
- Develops standard processes for organizing and distributing reports and information.
- Provides tracking of grant applications, financial reports, audits and facilities files.
- Assists with the organization of Records Management Systems.
- Maintains files and information systems.
- Conducts data analysis and data reporting.
- Updates national databases with current client assignments.
- Files correspondence, Audit Progress Reports, Financial Status Reports, applications, grant award documents and other business-related materials.
- Distributes business-related materials to stakeholders and program officials.
- Reorganizes official business files in file room as needed.
- Develops reports, correspondence and presentations to include spreadsheets, MS Word documents, and Power Point presentations.
- Operates and maintains multiple on-line and local data management/tracking systems and databases.
- Other related duties.
Qualifications
Associate degree in a field related to task activities from an accredited university or college, preferred:
- At least 2 years of relevant professional experience directly related to the task activities.
- Demonstrated ability to aggregate, analyze and present data gathered from multiple sources.
- Ability to develop reports, correspondence and presentations to include Excel spreadsheets, MS Word documents, and Power Point presentations.
- Demonstrated ability to communicate clearly, both orally and in writing, and produce high quality written products such as memoranda, presentations and correspondence.
- Experience scheduling appointments, preparing travel arrangements, arranging meetings, maintaining staff calendars, and coordinating assignments.
Additional Requirements
- Previous government agency experience highly desired.
- He/she MUST have a clearance or be able to obtain a clearance.
- Extensive experience with data systems, data entry, data analysis, information reporting, and information and records management preferred.
- Demonstrated ability to aggregate, analyze and present data gathered from multiple sources preferred.
- Demonstrated ability to communicate clearly, both orally and in writing, and produce high quality written products such as memoranda, presentations and correspondence.
- Advanced experience using MS Office, including Word, Excel, PowerPoint, and Power Point
- Excellent customer service skills.
- Ability to work independently.
- Ability to work under and meet tight deadlines and deliverables.
- Ability to manage multiple tasks simultaneously.
While the position is onsite, it currently is hybrid with two days in the
office.
Clearance process for public trust can take 6-10 weeks.
