Job purpose
The Administrative Assistant will provide support to the Operations Department head. These responsibilities include but are not limited to assisting with the monitoring of various operational departments, monitoring employee production, analyzing trends in data, and other confidential administrative related functions.
Duties and responsibilities
- Perform complex and confidential administrative related functions to ensure assigned department operations flow smoothly
- Prepare correspondence and other documents as requested (prepare memos, reports and participate in administrative functions such as developing complex spreadsheet tracking reports, graphs and charts)
- Prioritize production in assigned departments ensuring turn-a-round times are met
- Process and respond to insurance carriers requests and patient inquiries
- Engage in critical analysis of data with focus on proactive actions
- Prepare various confidential departmental reports, utilizing various advanced software programs
- Track and communicate with Client Managers regarding missed deadlines, process concerns, employee tasks, etc.
- Maintain Calendar and tasks for the Operations Department Head
- Open, deliver, and distribute mail
- Support Operations Department Head with facilities management
- Other duties as assigned
Qualifications
- High school diploma or equivalent
- Two (2) years of experience in an equivalent position reporting to upper level management
- Previous health care and/or medical experience preferred
- Type 40 wpm
- Excellent MS Office applications skills – MS Word, MS Excel, MS PowerPoint
- Strong organization skills and attention to detail
- Ability to multi-task and meet deadlines and prioritize projects/tasks
- Excellent communication skills (both verbally and written)
Physical Requirements
Physical ability to sit, talk, hear for extended periods throughout the work day; stand, walk, push/pull, bend, stoop, kneel and reach on a regular to seldom basis. Repetitive hand motions on a frequent basis including fingering, grasping and handling. Ability to read handwritten and typed documents on paper and/or on computer screens. Ability to lift or carry object weighing up to 20 lbs.
