About the role


We are seeking a highly organized and proactive Executive Assistant to join our team. In this role, you will provide comprehensive administrative support to our Executive Leadership Team (ELT), consisting of five leaders who drive the strategic vision and direction of our organization. As the backbone of our executive team, you will play a crucial role in ensuring the smooth operation of day-to-day activitiesThe ideal candidate is based in the New York area and able to come into the office at least once a week. 

In this role, you will be expected to:


  • Manage complex calendars, including scheduling meetings and appointments for the ELT members, optimizing their time and priorities.
  • Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring seamless logistics when traveling.
  • Occasional meeting support as needed, e.g.  prepare and distribute meeting agendas and materials, and follow up on action items to ensure timely completion.
  • Serve as point of contact for internal and external stakeholders who need to meet with the ELT, demonstrating professionalism and diplomacy in all interactions.
  • Conduct research for meeting preparation such as preparing bios of meeting participants.
  • Handle sensitive and confidential information with the utmost discretion and maintain confidentiality at all times.
  • Anticipate the needs of the ELT and proactively identify opportunities to streamline processes and improve efficiency.
  • Assist with ad hoc administrative tasks and special projects as assigned by the ELT, demonstrating flexibility and adaptability to changing priorities.
  • Help take care of our beautiful office one day a week, including office manager tasks such as setting up team lunches, restocking fridge and pantry, and ensuring a welcoming and organized work environment for all staff members.

Your Profile:


  • Bachelor's degree preferred, with a minimum of 3 years of experience in a similar role supporting C-level executives or senior leadership teams.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.
  • Exceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficiency in Google Workspace and Microsoft Office.
  • Discretion and integrity in handling confidential information and sensitive situations.
  • Resourcefulness and a proactive approach to problem-solving, with the ability to work independently and make sound decisions.
  • Low ego with willingness to assist with tasks outside of traditional job responsibilities. Flexibility to adapt to changing priorities.
  • Experience in the healthcare or technology industry is a plus, but not required.
