We are seeking a personable, outgoing, organized professional who isn’t afraid to take on any support task, small or large, as an Executive Assistant in our St. Louis, MO office for our ProSource Division.As the Executive Assistant, you will be responsible for performing administrative functions for the Division President and Chief Operating Officer (COO), including calendar management, travel management of executives and guest, planning meetings and recording notes, along with administrative support for ProSource team.
Our Executive Assistant will:
- Manage Division President’s and COO’s calendars, contacts, and meetings. Arrange complex detailed travel plans and itineraries; compile documents for travel-related meetings; prepare expense reports for executives; and develop budget for programs, events, or meetings for both internal staff and Members.
- Provide administrative support for the St. Louis Business Group and Field Business Consultants, to include delivering mail, ordering supplies, ordering gifts, FedEx shipments, etc.
- Organize events or meetings by arranging for facilities and caterers, issuing information or invitations, and controlling event budgets.
- Verify, code and process invoices and corporate Visa bill.
- Communicate with Members, vendors, and other executives; compose and prepare confidential correspondence, reports and other documents.
- Attend offsite, annual convention and assist with presentations, handouts, breakouts, registration, coordination of office travel arrangements and staff scheduling.
Do our requirements match YOUR background?
- High school diploma; Associates degree in business preferred with 5 years’ experience in an Executive Assistant role.
- Flexible, go-to person with the ability to handle multiple priorities as well as tracking and follow up of tasks and requests.
- High level of discretion and the ability to handle all information and/or work in a confidential manner.
- Excellent computer skills (Microsoft Office, inclusive of Word, Excel, and Outlook).
- Excellent verbal and written (inclusive of spelling and grammar) communication skills and the ability to communicate with corporate staff in a courteous, tactful, concise manner.
