Summary/ Objective


We are seeking a highly organized and detail-oriented team member to join our team at Grunt Style. The ideal candidate will have experience in office/ facilities administration with an opportunity to offer administrative assistance to the social media influencers and ambassadors. The role will be responsible for providing administrative support, coordinating and scheduling meetings, maintaining and updating the building conference room calendars, restock employee lounge areas. Additionally, the candidate will be responsible for maintaining the office and coordinating with contractors and vendors to ensure the smooth operation of the office and report facility maintenance.

The successful candidate will be able to work well under pressure and meet deadlines, possess strong communication skills, and be able to work collaboratively with cross-functional teams. This role has the opportunity to engage with multiple departments throughout the organization. 

Primary responsibilities for Office/ Facilities Coordinator


  • Manage office administration and building/contractors.
  • Manages conference room schedules and requests.
  • Ensures that the building looks presentable.
  • Handle correspondence, shipping and receiving. 
  • Oversees the office supply inventory to include maintaining breakrooms with the necessary supplies and products. 
  • Possess strong organizational and time management skills, communication skills and ability to work under pressure.
  • Perform other duties as assigned.

Influencer/Ambassador Support (10-12 Hours Per Week):


Offer administrative support to our Brand Influencer team. 

  • Coordinate and schedule meetings and appointments.
  • Assist in the creation and distribution of marketing materials.
  • Assist in the planning and execution of influencer and ambassador campaigns.
  • Collaborate with cross-functional teams to ensure successful campaigns.

Requirements

Experience:


  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Experience in administration and/or marketing.
  • Proficient in Microsoft Office and Google Suite.
  • Strong attention to detail.
  • Ability to work well under pressure and meet deadlines.
  • Open to train on new database such as GRIN.

Supervisory Responsibility


This position has no supervisory responsibilities

Work Environment


This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands


This is largely a sedentary role; however, this role requires the ability to lift up to 20 lbs. as necessary.

Position Type and Expected Hours of Work


This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5 p.m.

Travel


10% of the time.
