Trilogy Federal is looking for a
Senior Executive Support Specialist
to provide comprehensive support to the Executive Management office of the Department of Veterans Affairs. Duties include managing the corporate mailbox, organizing the SharePoint library, developing presentations, and assisting with meeting coordination and support. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. This role has the potential for very limited travel (3-5 days once or twice a year), but no travel is planned at this time.
Primary Responsibilities:
- 1. Corporate Mailbox Monitoring:
- Monitor and manage the corporate mailbox, ensuring timely and accurate responses to inquiries. - Filter and prioritize emails, flagging important messages for the attention of the appropriate team members. - Track and follow up on email task assignments to ensure timely and sufficient completion. - Maintain an organized and up-to-date email filing system. - 2. SharePoint Library Organization:
- Organize and maintain the SharePoint library, ensuring documents are correctly categorized and easily accessible. - Implement and enforce document management best practices, including version control and document retention policies. - Assist team members with uploading, accessing, and managing documents on SharePoint. - 3. Presentation Development:
- Develop high-quality presentations for meetings, conferences, and other events using PowerPoint and other presentation software. - Work with team members to gather content, create visual aids, and ensure presentations are professional and aligned with corporate standards. - Update and revise presentations as needed, incorporating feedback and new information. - 4. Meeting and Event Planning Support:
- Coordinate and schedule meetings and events, including sending invitations, booking meeting rooms, and arranging necessary equipment. - Prepare agendas, take minutes, and distribute meeting materials on time. - Assist with setting up meetings and troubleshooting any technical issues that arise. - Track and follow up on action items from meetings, ensuring tasks are assigned and deadlines are met. - 5. General Administrative Support:
- Assist with special projects and perform other duties as assigned by the Executive Management Office head or senior executive.
Minimum Requirements:
- Bachelor's degree or higher in Business Administration, Office Management, or a related field.
- Minimum of 7 years of experience in Executive Management support.
- Strong attention to detail and a commitment to delivering exceptionally high-quality work within established timelines.
- Excellent written communication skills.
- Excellent communication and interpersonal skills, with the ability to effectively engage with stakeholders at all levels of the organization.
- Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities.
- Experience with SharePoint, Teams, or similar document management systems.
- Ability to work independently as well as collaboratively in a fast-paced, dynamic environment.
- The ability to obtain a Public Trust clearance.
Preferred qualifications:
- Previous experience with the Veterans Benefits Administration, Compensation Service
- Experience with Microsoft Planner or similar task management software

$70,000 - $80,000 a yearThis range is not a guarantee of compensation or salary, as Trilogy Federal conducts an individual equity review for every candidate based on experience, location, education, industry experience, and comparisons to internal pay bands.
