The Senior Executive Assistant will support the President, Chief Executive Officer with administrative agency management tasks, business and community outreach initiatives, and personal projects. The Senior Executive Assistant will be a proactive, confident and strategic partner, bringing organization and a detailed approach to all tasks, and serve as a liaison to the agency’s leadership and staff. There is a learning curve to understand the integrated and nuanced aspects of the business to contribute significantly, but will make a big impact, be multifaceted and fun.

Responsibilities will increase as capabilities are demonstrated. For a strong performer, there is significant potential and growth opportunities within the company. The ideal candidate will have proven experience in supporting executive leadership, with a special focus on project execution and interdepartmental collaboration. 

Essential Duties & Responsibilities as Senior Executive Assistant 


  • Serve as a trusted business and thought partner for the President, CEO
  • Collaborate on the agency’s strategic initiatives and projects across internal departments
  • Manage the CEO’s calendar, including facilitating daily activities, coordinating meetings with internal and external parties
  • Ensure schedules are highly organized and optimize bandwidth whenever possible to drive efficiency
  • Create presentations for on- and off-site meetings and coordinate rooms for presentations as needed for internal teams, clients, prospects, and community outreach
  • Utilize Google Drive
  • Proactively schedule detailed travel plans, itineraries and agendas
  • Assist with client-relationship details, including contact scheduling, lists, correspondences, gifts, mailings, etc.
  • Perform research for business development and client engagement
  • Prepare and edit correspondence that may be confidential
  • Prioritize conflicting needs in a fast-paced office, handling matters expeditiously and proactively and following projects through to successful completion
  • Enhance the role by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments
  • Handle select personal tasks and local errands to allow the CEO more time for strategic priorities

Requirements

  • Bachelor’s degree
  • 7-10+ years experience supporting executives
  • Proficiency with basic business software (Google Drive) and calendar management (Microsoft Outlook)
  • Strong verbal and written skills, including excellent proofing skills
  • Highly organized and detail oriented
  • Experience with Workfront a plus
