Job Summary:
As the Executive Assistant, you will play a pivotal role in the day-to-day operations of our fast-paced startup. You will be the right hand to our CEO and leadership team, ensuring they have the support needed to focus on strategic initiatives and drive the company's success. This role requires excellent organizational and communication skills, exceptional attention to detail, and the ability to thrive in a dynamic and collaborative environment.
Responsibilities:
Calendar Management:
Calendar management and scheduling; resolve scheduling conflicts as they arise, maximize availability and prioritize meetings in alignment with top objectives.
Email and Communication Management:
Take ownership of CEO inbox and communication methods; daily sweep of all inboxes, organize communication, respond as needed and bring important communication to the attention of the CEO and relevant team members.
Meeting Preparation:
Assist in preparing meeting materials, agendas, and follow-up actions. Attend and take minutes as needed.
Travel Coordination:
Arrange and coordinate domestic and international travel, accommodations, and itineraries for the CEO and leadership team.
CRM Management:
Update CRM with deal activity, including notes and action items.
Accountability:
Ensure the CEO stays focused, on task and meetings and commitments are kept.
Ad Hoc:
Assist CEO and leadership team with personal tasks.
Who You Are:
An assertive but kind problem solver with a keen attention to detail and excellent communication skills. You find joy in bringing order to chaos and proactively seek out solutions. You aren’t afraid to speak up and hold others accountable. You have several years of experience managing calendars and understand best practices when it comes to maintaining schedules that align with company and executive goals. You know how to manage an inbox and have helped executives maintain Inbox Zero.
