- Provide high-level administrative support to Executive team (CEO, CFO, and COO)
- Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents
- Handle inbound and outbound mail (USPS and FedEx)
- Order equipment and supplies for Executive Team as needed
- Manage individual calendars and schedules
- Partner with the Office Administrator in coordinating on-site meetings as related
- Prepare for presentations and meetings
- Record and distribute meeting minutes as requested
- Arrange off-site meetings (including booking reservations, coordinating luncheons, etc.)
- Prepare and process all expenses reports
- Coordinate the processing of invoices and supporting documents for payments and record-keeping.
- Arrange domestic and international travel and accommodations (flights, lodging, general transportation)
- Provide other administrative duties as needed
RequirementsEducation/Experience
- Bachelor's degree required preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience
- Minimum five (5) years of experience including supporting a senior level executive and managing a complex calendar
- Advanced computer skills; proficiency in Microsoft Office specifically Outlook, Word, and PowerPoint, and aptitude for new software applications
- Use a computer and telephone for extended periods of time
- Notary certification, a plus
- Available to travel occasionally as needed
