Administrative Assistant – Onsite
Position OverviewThis position plays a key role primarily supporting the heads of Operations, Product Management, Engineering, Sales, and Human Resources. This position will act as secondary support for the chief executive officer and chief financial officer when the primary EA is out of office. This role will also be the site administrator for our Charlotte, NC headquarters and will have general facilities responsibilities.Expectations:Admin· Provides primary high-level administrative support to our Executive Leadership Team (ELT) (excluding CEO and CFO), along with secondary support to our CEO and CFO· Proactively manages calendars and assists with prioritizing appointments.· Manages travel arrangements of assigned executives and others within their departments by booking travel and ensuring any travel interruptions are handled timely and effectively.· Assists with expense reports for the ELT· Assists with PowerPoint editing, creation, alteration, etc.· Act as a backup to the primary Executive Assistant· Other duties as assignedSite Administrator· Manage all onsite activities for the ELT to include room reservations, catering orders, set up and tear down, etc.
Example events: Town Halls, XLT onsite meetings, Operations onsite meetings, Sales Kick-off, etc.· Charlotte office delivery management – FedEx, UPS, USPS to include sending/receiving mail and packages and delivering to proper parties· Charlotte office vendor management – snack/soda/coffee vendors, Panera bagel order, supply ordering, etc.· Charlotte office maintenance request management – Lincoln Harris coordination, HVAC, fire systems, backup generator, etc.· Other duties as assignedReporting: TBDLocation: Hybrid – Onsite first and as needed.
Some weeks could be 5 days, other weeks could be less.
