SMX is seeking an
Executive Assistant to provide administrative and operations support to the PATRIOT Ground Support Equipment (PGSE) Product Office, directly supporting the Product Manager. This is a hybrid role based at Redstone Arsenal in Huntsville, AL. The Executive Assistant must be detail-oriented, highly-organized and self-starting with a broad skill set to support various clerical and administrative tasks. Must be able to manage multiple tasks with competing priority levels. The EA should have excellent interpersonal skills, flexibility in their work schedule, and experience in managing meeting minutes, producing reports, file management, creating, tracking, and managing travel arrangements and reconciling vouchers in the Defense Travel System.As the Executive Assistant, you will be responsible for planning Official Foreign travel and will have experience utilizing the Aircraft and Personnel Clearance System (APACS) and the Foreign Travel Clearance guide for OCONUS travel.
The EA will submit and receive classified documentation, maintain DA FORM 3964s (Classified Document Accountability Record), and perform security checks. In this role, you will be responsible for schedule/calendar management, the Automated Time and Attendance Production System (ATAAPS), action item tracking and management, and meeting coordination. The EA will manage correspondence and routing (AR 25-50), and will build briefing charts, reports, and work collaboratively and independently.
Essential Duties and Responsibilities:
- Calendar coordination and deconfliction
- Schedule meetings, reserve conference rooms
- USG CONUS and OCONUS travel planning and coordination
- Make and receive phone calls; record messages
- Maintain calendars (MS Outlook)
- File management
- Monitor/track Action Items
- Prepare/manage USG official correspondence
- Submit/receive classified documentation
- Record meeting minutes and produce reports
- Create/edit briefing charts
- Other duties as assigned
Required Skills and Experience:
- Clearance Required: Secret
- Bachelor's degree and 4 years of experience
- Allowable substitutions include an associate's and 8+ years of experience, or high school diploma and 12+ years of experience
- Experience utilizing DTS and APACS
- Experience using MS Office applications
- Experience managing US Army correspondence
- Demonstrated ability to work productively as a team member
