We seek someone with 1 to 3 years of relevant administrative assistant or sales assistant or sales operations support experience. Qualified candidates must be organized, customer service focused and outgoing.

This Sales Assistant will support the Sales Team to provide operational and administrative support, while interfacing with clients regularly to help build rapport. You will assist our team and our clients through each step of the sales process. You will be focused on post-sales support and client retention activities such as client follow up, documentation, helping to resolve outstanding questions, and enhancing the client experience. The Sales Assistant will also be cross trained to help with Pre-Sales support such proposals, quoting tools, contract administration, sub-contract agreements, and sales forecasts. You may be asked to help with sales prospecting and research to identify and create lists of potential clients while maintaining databases of sales. The person we hire will have a career path to grow into a sales role or continue to develop their career in sales operations. The Sales Assistant will learn and understand all the components that go into a sales quote as well as learn our ConnectWise Professional Services Automation system (PSA). This person will report to the Head of Sales

  • The Position will be based out of our North Dallas Office

Responsibilities

  • Help ensure an outstanding client experience and conduct post-sales support for Data Center Solutions clients including hands off and project close out documentation
  • Work with Account Executives to help maintain client relations and assist with client follow up
  • Provide administrative support to the sales team as needed, including scheduling appointments, preparing reports, and maintaining databases
  • Coordinate and attend client conferences and meetings when appropriate
  • Answer customer inquiries and resolve customer issues through email, chat, or phone calls with a positive attitude and in a timely and professional manner
  • Process customer orders, work with purchasing and ensure accurate and timely shipment of equipment
  • Become an SME for our ConnectWise, Professional Services Automation System, to manage customer accounts and records and maintain accurate forecasting, resourcing and revenue tracking
  • Maintaining an accessible system for sales status updates, client documentation and forecasts
  • Perform data entry and maintenance duties in regard to metrics, sales figures and other key data
  • Be entrepreneurial - learn our business, process and tools and offer suggestions for improvements
  • Cross train and be able to help with coordinating RFP responses and keeping our sales forecast updated, this may include working with pre-sales support to ensure all sales opportunities are tracked properly and the sales funnel is updated with ConnectWise and other sales, quoting or proposal tools.
  • Perform other various administrative tasks for the sales team as needed

Key Qualifications

  • 1 to 3 years of Administrative Assistant experience, or a motivated recent college graduate interested in starting a career is sales operations
  • Strong MS Office experience is a required – able create Customer Facing Documentation, PowerPoint Presentations and Excel Spreadsheets
  • Excellent written and verbal communication skills
  • Outgoing with the ability to build effective professional relationships
  • Ability to multi-task, prioritize, follow up and stay organized in a fast-paced environment
  • Experience learning and mastering various systems and tool quickly is important

Preferred Experience (but not required):

  • Data Center Industry experience a plus, but not required
  • Some enterprise sales support or sale operations experience including maintaining sales forecasts and databases would be a plus
  • ConnectWise experience is desired, but not required
  • Any experience with proposal generation or pricing tools would be a plus
  • Any marketing experience would be a plus
