The firm is seeking an Administrative Assistant who will report to the Chief Operating Officer (COO)’s Executive Assistant and will support the Chief Operating Officer with a wide range of administrative and business-related tasks. The ideal candidates for this role will be resourceful, organized, and possess a high level of attention to detail. Given the role’s nature and exposure, the ideal candidate also will have refined interpersonal skills, gravitas, and trustworthiness. Responsibilities
- Coordinate and maintain the COO’s calendars and effectively manage all scheduled activities (including business meetings, travel arrangements, personal appointments, and outside board commitments)
- Work with the COO team to strategically manage the COO’s time with respect to the organization’s priorities, goals, and objectives. This includes understanding important initiatives, preparation requirements, and managing evolving calendars accordingly
- Prepare expense reports, organize travel and other administrative tasks as needed
- Assist with meeting prep, meeting notes and seamless follow up
- Can assist with researching and implementing organizational frameworks such as OKRs across the Operations and Client Services teams
- Proactively bring together appropriate team members and resources to support key firm initiatives
- Research and follow up on incoming issues and concerns, including those of a sensitive or confidential nature
- Work independently, as well as with the Operations & Client Services teams on various projects
- Plan team building events for the Operations & Client Service teams
- Additional responsibilities to be determined based on capacity, skill and interest
Qualifications
- Bachelor’s degree required
- 1+ years of administrative experience, preferably in the financial services industry or C-Suite
- Experience coordinating multiple competing priorities in a fast-paced environment
- Ability to independently execute instructions with great attention to detail and consistently produce work that is thorough and meticulous
- Highly refined communications and writing skills
- Creative problem solving and logical thinking skills with an inherent desire to learn
- Ability to take detailed notes during meetings
- High level of integrity due to dealing with sensitive and confidential information
- Excellent time management skills, ability to coordinate multiple competing priorities in a fast-paced environment
- High EQ, positive attitude and good at building relationships
- Familiarity with Microsoft Office, Airtable Slack, Salesforce and Confluence a plus
- Ability to work out of our New York City office 3+ times a week

If you are located in New York, New York, the base salary range for this role is $80,000 - $100,000. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location.CAIS offers a comprehensive benefits package that includes generously subsidized healthcare with 100% employer paid dental and vision insurance, an employer matched retirement plan, wellness programs, and generous PTO and parental leave.
