About the role

What does the role look like?


We are seeking an Executive Assistant who thrives in a fast-paced environment and can seamlessly manage the day-to-day operations for our Co-Founder. This role requires exceptional organizational skills, impeccable communication abilities, quick response time, and the flexibility to handle a variety of tasks with efficiency and grace. The Executive Admin is a high-impact role and Whop is  a high-growth startup: You will have the ability to make a meaningful impact and contribute to Whop’s rapid growth and success.Your first 90 days will look like the following:

  • Within 30 days, you will be managing calendars, coordinating meetings, and taking organized notes
  • Within 60 days, you will be prioritizing requests and acting as the primary point of contact for internal and external communications
  • Within 90 days, you will proactively schedule meetings and come up with agendas and action items

  • Comfortable with receiving and taking action on feedback, using it as a foundation for growth and continuous improvement.
  • Proven experience in strategic sales or operational role, preferably in a fast-paced, growth-oriented start-up environment.
  • A strong work ethic, professionalism, integrity, trustworthiness, commitment, and business maturity.

What you will be doing


  • Calendar Management: Coordinate and manage complex schedules for the Co-Founder, including arranging meetings internally and externally, appointments, and travel itineraries across multiple time zones.
  • Email Management Manage and organize email communications efficiently.
  • Communication Liaison: Act as the primary point of contact for internal and external communications directed to the Co-Founder, ensuring timely responses and maintaining professionalism in all interactions.
  • Logistical Support: Handle logistics for meetings, events, and reservations, including flight and hotel bookings.
  • Documentation and Follow-Up: Prepare agendas, take meeting minutes, and follow up on action items to ensure deadlines are met.

  • Information Management: Maintain confidential files and records and organize documents such as presentations, reports, and correspondence.
  • Adaptability and Availability: Be available and responsive around the clock to handle urgent matters and last-minute changes, demonstrating a commitment to supporting the Co-Founder in their 24/7 role.

Qualifications


  • Experience: Minimum of 3 years in an Executive Assistant or similar role, preferably in a startup or high-growth and fast-paced environment.
  • Communication Skills: Exceptional verbal and written communication skills, with a keen ability to interact professionally with diverse stakeholders.
  • Organizational Skills: Strong attention to detail and the ability to prioritize tasks efficiently in a fast-paced setting.
  • Tech-Savvy: Proficiency in productivity tools such as Google Workspace, Keynote, etc.
  • Startup Enthusiast: You are fully committed to the startup lifestyle, embracing the hustle, lifestyle, and pace that comes with it.
  • Discretion and Integrity: High level of integrity and ability to handle confidential information with discretion.
  • Emotional Stability: Exhibits confidence, emotional stability, and maintains a calm demeanor under stress.
  • Resilience: Thick-skinned with the ability to remain calm under pressure, adapt to changing priorities, and solve problems independently.
  • Availability: Willingness to work flexible hours and be on call as needed to support the dynamic needs of the Co-Founder.
