It is a demanding, high-energy, and fast-paced environment. About the role:The Finance Administrative Assistant is responsible for managing the front office area and coordinating the daily office activities of our Princeton, NJ Location.The position will report directly to the Vice President of Global Finance and Administration.Key Responsibilities:
- Greets and assists visitors to ensure the proper check-in and check-out process
- Maintain the electronic filing system, and assist in yearly insurance renewal applications
- Maintain the overall appearance of the office by providing routine office support including distributing mail, supply inventory, filing, copying, printing, scanning, etc.
- Check office equipment regularly to ensure reliable usage; work with Facilities Management and IT Departments to identify, address, and ensure the repair or replacement of malfunctioning office equipment
- Provide administrative support to management as needed
- Provide support to finance as needed
- Accounts payable invoice entry assistance
- Prepare and maintain conference room appearance for all meetings
- Handle confidential and time-sensitive information to ensure deadlines and sense of urgency
- Order and maintain office supplies for the Princeton, NJ office
- Assist in preparation and cleanup of events, meetings, or luncheons
- Support management and remain flexible to run off-site errands as needed
- Act as liaison between INVIDI and Building Management to report and track issues as they arise i.e. water leaks, problems with office lighting, etc.
- Additional special projects as required
You must have:
- 3 years of administrative experience preferred
- Strong attention to detail
- Strong computer skills and proficiency using Microsoft Outlook, Excel, Word and PowerPoint
- Prior experience using Jira or Project Management software preferred
- Ability to work independently and demonstrate initiative to resolve issues in a timely manner
- Possess a positive can-do attitude with a strong sense of urgency
- Excellent verbal and written communications skills
- Strong sense of discretion and professionalism
- Ability to effectively manage multiple projects and competing priorities
- Able to handle private/confidential information
- Valid driver's license and a reliable vehicle
Physical Requirements:
- INVIDI is a conscious, clean, well-organized, and supportive office environment.
- Prolonged periods of sitting at a desk and working on a computer are normal.
