About the Role:


We are seeking a highly skilled and experienced Head of Finance & Administration to join our team. The ideal candidate will play a vital role in the financial operations of our company, ensuring the accuracy and efficiency of our financial management systems. This position requires a deep understanding of financial management, strategic planning, and collaboration with executive leadership. Additionally, the role involves supporting client projects, utilizing QuickBooks, managing HR, Administration, and Compliance functions for our company and our client partners.

This position will oversee direct reports to ensure successful execution of financial, compliance, HR and administrative functions. 

Key Responsibilities:


Financial Reviews:

  • Conduct thorough financial reviews and audits to ensure accuracy and compliance with accounting standards and regulations.
  • Analyze financial data and provide insights to support decision-making processes.

Executive Reporting:

  • Prepare and present detailed financial reports and dashboards to senior management and stakeholders.
  • Provide actionable recommendations based on financial analysis to drive business performance.

Journal Entries:

  • Oversee the preparation and posting of journal entries to ensure accuracy and compliance with GAAP and company policies.
  • Review and reconcile accounts to maintain the integrity of financial records.

Revenue Recognition:

  • Implement and monitor revenue recognition policies and procedures.
  • Ensure accurate and timely recognition of revenue in accordance with relevant accounting standards.

Financial Planning & Analysis (FP&A):

  • Develop and maintain financial models and forecasts to support strategic planning and budgeting processes.
  • Conduct variance analysis and identify trends to support business growth and profitability.

Finance Strategy:

  • Collaborate with executive leadership to develop and execute financial strategies that align with the company’s goals and objectives.
  • Provide strategic insights and recommendations to improve financial performance and operational efficiency.

Collaboration with Executives:

  • Work closely with the Founder, CEO and senior leadership to support financial planning and strategic initiatives.
  • Act as a trusted advisor to the leadership team on financial matters.

QuickBooks Management:

  • Utilize QuickBooks for managing accounting tasks, including invoicing, payroll, and financial reporting.
  • Ensure the accurate and efficient use of QuickBooks to maintain up-to-date financial records.

Day-to-Day Accounting Operations:

  • Manage the day-to-day operations of the accounting group, including Accounts Payable, Accounts Receivable, and project accounting.
  • Manage the general accounting work, including job costing and general ledger postings for projects.
  • Oversee the budgeting and forecasting processes to ensure fiscal responsibility.

Supporting Client Projects:

  • Provide financial expertise and support for client projects, ensuring financial integrity and successful project outcomes.
  • Develop and maintain strong relationships with clients, offering tailored financial solutions and guidance.
  • Serve as key stakeholder and client representative managing annual financial audits for a nonprofit client partner.

Compliance and Reporting:

  • Ensure compliance with all financial regulations and prepare necessary filings.
  • Prepare and compile timely and accurate monthly and quarterly financial results providing insights and recommendations to the executive team.
  • Monitor cash flow and liquidity to support the agency’s financial stability.
  • Implement cash flow projections and manage working capital effectively.
  • Develop and implement compliance programs to ensure adherence to legal and regulatory requirements.
  • Conduct regular audits and assessments to identify and address compliance risks.
  • Prepare and submit required compliance reports to regulatory authorities.
  • Ensure that the company’s policies and procedures are up-to-date and compliant with current laws and regulations.
  • Work with legal counsel to address any compliance issues or concerns that arise. 

Project Cost Management:

  • Analyze project cost, profitability, and ensure that expenditures are consistently aligned with project budgets to maximize positive cash flow.
  • Manage the preparation of the annual tax return process, working with our third-party tax accountants.
  • Maintain and improve financial software systems and tools.
  • Streamline financial processes and enhance efficiency and accuracy.
  • Manage project resourcing, acting as a thought partner as needed during client contracting, and working with stakeholders to keep projects on time and profitable.

HR Management:

  • Oversee HR functions including recruitment, onboarding, employee relations, and performance management.
  • Develop and implement HR policies and procedures that support the company’s strategic goals.
  • Manage employee benefits programs, including health insurance, retirement plans, and other perks.
  • Conduct regular training and development programs to enhance employee skills and performance.
  • Ensure compliance with labor laws and employment standards.
  • Address and resolve employee issues and conflicts in a timely and effective manner.
  • Foster a positive and inclusive work environment that promotes employee engagement and retention.

Administration:

  • Manage administrative tasks to ensure compliance and smooth operations, including vendor management.
  • Oversee the development and maintenance of administrative systems and procedures.
  • Coordinate and manage company events, meetings, and travel arrangements.
  • Support executive leadership with administrative tasks as needed.
  • Ensure that all administrative processes are efficient and aligned with the company’s strategic goals.

Qualifications:


  • Bachelor’s degree, or equivalent working experience in Accounting, Finance, or related field. 
  • Proven experience as a Financial Controller or similar role, preferably in a professional services environment. 
  • 8+ years of experience in progressively responsible accounting roles in the advertising, legal, or similar industry preferred.
  • Strong knowledge of GAAP, financial reporting, project cost control, percentage of completion accounting, and expense recognition principles. Knowledge of nonprofit accounting.
  • Proficiency in financial modeling, forecasting, and analysis.
  • Extensive experience with QuickBooks, Expensify, Excel, Google Sheets and other accounting software.
  • Excellent communication and presentation skills, with the ability to convey complex financial information to non-financial stakeholders.
  • High level of integrity, accuracy, and attention to detail.
  • Ability to work independently and manage multiple priorities in a dynamic environment.
  • Solid leadership skills and the ability to interface with and collaborate with senior executive management.
  • Skilled problem solver with a knack for working with people to achieve success.
  • Experience with Google Suite, Microsoft Office and highly organized with attention to detail.
  • Demonstrated ability to roll-up sleeves and work with team members in a hands-on management capacity.
