Clarity Partners is seeking an Executive Assistant local to Chicago, IL. The EA is an energetic, thoughtful, and creative team player who contributes in a meaningful way and ensures a high attention to detail. The EA will thrive in a fast-paced, versatile environment and is expected to remain poised. Complex and strategic scheduling, high-level relationship management, excellent judgement and high-level of discretion are required. Motivation, collaboration and a willingness to go the extra mile are also a must. In addition to executive support, the EA will also act as a liaison to internal colleagues and external clients, communicating the need for timely information on behalf of Partners at Clarity.

In this role, all elements of the office are managed professionally, proactively and efficiently in service of the mission of the company. This role will report in a fully on-site setting. 

Administrative Support


  • Organize and maintain complex calendaring for the Partners with a high level of efficiency and accuracy; prioritize and coordinate high volume, ever-changing schedules and demands, including coordination of complex meetings with multiple participants and locations.
  • Provide inbox management support to the Partners, drafting emails as needed, responding and routing correspondence on a timely basis.
  • Serve as a key point of contact to the Partners and the central point for coordination and logistics for critical administrative duties and responsibilities.
  • Expertly anticipate the Partners' needs and remain highly responsive to direct and expected requests; deliver swift, accurate, and thoughtful replies to requests and follow through on all action items.
  • Provide senior level administrative support including reading, researching and routing correspondence, drafting communications, collecting and analyzing information, and managing contacts.
  • Draft letters, reports and other correspondence on behalf of the Partners. 
  • Serve as key point person for the Partner regarding any sensitive or confidential matters.
  • Organize meeting logistics, conference rooms, AV equipment, displaying presentations, etc.

Communications & Event Management


  • Coordinate with various teams across the organization to successfully support operational tasks.
  • Create, coordinate, modify and monitor events for Partners and other team members as required, solving for tight schedules and delivering precise and comprehensive itineraries.
  • Serve as an active ambassador of the team, contributing to an engaging and positive values-driven culture.
  • Work on special projects and events as directed.
  • Complete expense reports related to company and client events.

Requirements

Requirements:


  • Required minimum experience of 5 years successfully supporting a C-Suite/Executive leader.
  • Experience or related experience in the public sector is a plus.
  • Direct experience managing sensitive and confidential matters with a high level of discretion, professionalism, poise and judgment.
  • Strong execution and organization skills with success in prioritizing and executing multiple priorities seamlessly with excellent attention to detail.
  • Demonstrated proactive problem-solving skills and strong decision-making capability.
  • Capacity to work effectively independently and within a team-oriented, collaborative and collegial environment.
  • Proven ability to develop, prioritize and manage agendas, employee communications, high-level presentations and documents.
  • Excellent interpersonal, written and verbal communication skills; ability to developing and deepen positive and productive relationships across all levels of the organization.
  • Exceptional project management and organizational skills with a demonstrated ability to deliver high quality, accurate work on time.
  • Experience within a highly collaborative, dynamic organization and in an entrepreneurial environment where building policies, programs and processes are necessary.
  • Proven technical proficiency with the Microsoft Office Suite, Smartsheet, Canva, and Salesforce or a similar CRM.
  • Flexibility and willingness to work beyond standard business hours, including weekends as needed.
