Project Coordinator Job Description
Manage or assist in the management of projects within the constraints of human and financial resources and changing priorities to ensure the successful completion of the project within a large pharmaceutical client. Partner with the lead project manager to coordinate the scope of work between you. Establish and ensure transparent reporting of financials.
Project Coordinator REQUIREMENTS
- Bachelor’s degree in business, Information Systems/Computer Science, or related discipline required
- At least 2 years of demonstrated experience in project management.
- Proven Microsoft Project, PowerPoint, Word and Excel skills are required.
- Must be able to work on-site (Lake County Illinois) at least occasionally.
Project Coordinator Preferred Qualifications
- PPM Tool experience
- Pharmaceutical experience
- ServiceNow experience
Project Coordinator Key Responsibilities
- Financial management/reconciliation (e.g., Latest Best Estimates, Client Internal Systems, etc.)
- Assist the lead Project Manager in the management of other project activities as needed
- Serve as main point of contact for other internal Departments, such as Facilities, and other Department Administrators and Coordinators.
- Key logistical liaison for visiting IT leaders and meeting personnel and vendors.
- Manage effective communication with several levels of cross-functional stakeholders.
- Manage administrative tasks like uploading documents and managing project tasks in Microsoft Office Suite including SharePoint-- updating contact lists and org charts, team calendars, etc.
- Develop and maintain event calendar and updates on communication channels (SharePoint, Teams, etc.) May manage others calendars or expense reports on occasion.
- Coordination of team on- and off-boarding.
- Financial and purchasing support as needed including all event related Purchase Order and Meeting Cards.
- Provides support to a large, diverse team, geographically distributed across the globe.
- Prioritizes own work, balancing multiple requests for assistance.
- Establishes good working relationships; builds rapport and trust with others and actively initiates contact.
- Develops an understanding of business partner needs, offers collaboration, and follows through on commitments.
- Coordination of meetings and events. Connect with presenters, put together slides (PPTX) and/or coordinate with IT Communications team to align to brand style/guidelines, schedule meetings, purchase any meeting/event specific supplies, coordinate catering/food requests, book rooms, secure support from on-site A/V teams, capture minutes and follow-up action items.
