Seeking an administrative professional to oversee daily office operations and manage office phone network. Qualified candidates must maintain a thorough working knowledge of Microsoft Office Suite, including Outlook, Word and Excel applications. Must have a high level of professionalism, both in communication and appearance. Must possess good time management skills, attention to detail, and have the ability to multi-task. Must exercise good judgment and discretion with sensitive, confidential, and proprietary information.
Must be flexible, organized, and have the ability to prioritize assignments. Strong interpersonal skills are required, including a positive attitude and a professional, pleasant demeanor. Requirements
- Greet and direct incoming clients and office visitors
- Answer a multi-line telephone system, ensuring calls are routed appropriately
- General clerical work – typing, filing, expense tracking, calendars
- Coordinate office services (ex. cleaning, vendors, etc.)
- Sort and distribute incoming mail
- Coordinate outgoing mail and project-related documents (postage, couriers, Fed Ex, UPS, etc.)
- Manage office supply inventory and ordering
- Ensure maintenance of overall office appearance
- Assist engineering and admin staff with project-related documents, applications and research
- Work with executive or marketing staff to plan and coordinate company events
- Assist marketing staff with coordination and delivery of project proposals
- Assist with the coordination of event registrations and training sessions
- Assist with other miscellaneous duties, as needed
