Job Summary:


We are seeking a detail-oriented and experienced HRIS/Payroll Specialist to join our Human Resources team. The ideal candidate will be responsible for the accurate preparation, documentation, distribution, and reconciliation of payroll and the administration of the HRIS system. This role involvesperforming administrative tasks in support of the HRIS, ensuring data accuracy, and generating standard reports for leadership. The HRIS/Payroll Specialist will also support Human Resources in the reconciliation and/or audits of compensation and benefits, maintain compliance with applicable legislation, and manage onboarding and employee files.

Job Responsibilities:


  • Accurately process payroll on a regular schedule, ensuring timely and correct payment to employees.
  • Handle payroll deductions, benefit changes, garnishments, and tax withholdings.
  • Maintain state tax registrations and prepare reports, as needed.
  • Manage and respond to payroll tax inquiries from government agencies.
  • Stay up-to-date on federal, state, and local payroll laws and regulations.
  • Maintain and update employee, payroll and benefits records in the HRIS.
  • Ensure data integrity and security within the HRIS, according to organizational rules and applicable regulations.
  • Address and resolve employee inquiries related to payroll, benefits, and HRIS issues.
  • Generate standard reports and monthly KPIs for finance and leadership.
  • Assist in the administration of employee benefits programs, including health insurance, retirement plans, and other perks.
  • Ensure accurate enrollment, changes, and terminations in benefit plans.
  • Coordinate onboarding for new hires, including orientation, paperwork, and HRIS setup.
  • Facilitate smooth integration of new employees by providing ongoing support during the initial employment period of new hires.
  • Maintain accurate and up-to-date employee records, both physical and electronic.
  • Regularly audit files for compliance with company policies and legal requirements.
  • Handle the archiving and disposal of records in accordance with retention policies.
  • Perform routine administrative tasks in support of the HRIS.
  • Identify and implement process improvements to increase efficiency and effectiveness, including HRIS optimizations and integrations.

Required Skills and Abilities: 


  • Proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Slides), MS Office (Word, Excel, PowerPoint) and other office productivity tools.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • High level of attention to detail and accuracy.
  • Proactive, someone who follows through on every task through completion. 
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and the ability to work well under pressure.
  • Flexibility and adaptability to changing priorities and deadlines.

Required Education and Experience:


  • Bachelor’s degree in Human Resources, Business Administration, Accounting or a related field; or equivalent experience.
  • 4+ years of experience in HRIS and payroll administration.
  • Experience working in a SAAS environment, preferably in the podcasting or media industry, is a plus.
