OVERVIEW:
The Account Opening and Centralized Administration Specialist is an integral part of the Private Wealth Fiduciary Administration Team. Glenmede’s Account Opening Team simplifies and streamlines the account opening process for clients and relationship management teams. A successful candidate will work closely with the Relationship Management, Fiduciary, and Operations team members to serve as a primary point of contact and demonstrate ownership of the account opening and funding process. The Account Opening and Centralized Administration Specialist manages a pipeline of new and existing clients to ensure timely and accurate delivery of account opening documentation.
They will also partner with control and compliance functions to ensure required documentation is current and complete prior to account opening. Overall, this team applies administrative expertise and client service skills to fulfill various key functions that reduce risk, support a superior client experience, and increase the efficiency and effectiveness of Private Wealth and Glenmede at large. This position will allow for an opportunity to grow within a new and highly visible team while gaining additional responsibilities.
RESPONSIBILTIES:
- Serve as a subject matter expert for Account Opening and Funding with a strong sense of ownership, responsibility, and sense of urgency while exercising independent judgment and decision-making.
- Own a pipeline of clients during the opening process and manage multiple streams of work concurrently with competing deadlines.
- Communicate directly with clients and interested parties through the opening process and drive results through leadership, people, communication, and influence.
- Prepare required New Account Opening Paperwork.
- Review client documentation to ensure completion.
- Confirm proper set-up and coding for account titling, account type, affiliations, situs and tax situs.
- Work collaboratively with Business Development, Compliance, Security Operations and Relationship Management colleagues.
- Support the development and rollout of centralized administration services in Private Wealth.
- Support the development of enhanced workflows to automate the process.
- Support the development of management reporting.
- Active engagement in department-specific and firm-wide initiatives.
- Perform other duties as required by position.
REQUIRED QUALIFICATIONS:
- Bachelor’s degree or equivalent experience required.
- Minimum 3 years’ experience in customer service or account opening experience within a financial services environment required.
- Familiarity and understanding of trusts and other legal entity structures required.
PREFERRED QUALIFICATIONS:
- Demonstrated agility with technology. Working knowledge of Microsoft Office with strong proficiency in Excel. Experience with Salesforce preferred.
- Detail-oriented with client service experience.
- Experience working with high net worth clients and/or supporting a luxury brand experience.
- Demonstrated aptitude for problem solving and process improvement.
- Team player with the ability to organize work, prioritize appropriately, work well under pressure, and multi-task.
- Experience or desire to work in a financial services environment.
- Professional demeanor and ability to communicate clearly, both orally and in writing, with individuals across the organization. Ability to deal discreetly with confidential information.
- Strong relationship building skills.
