Pay Rate: 

The starting base pay range for this role is USD $19-$22.00 per hour. The actual base is dependent upon many factors, such as: training, transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future.

SUMMARY


We are looking for a highly organized and efficient Operations Assistant to join our team and help us with a variety of operations and administrative tasks. The ideal candidate will have experience in order fulfillment, shipping/receiving, customer service, billing, AR, and online sales fulfillment. They will also be able to work independently and as part of a team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential Functions of the position include, but are not limited to;


  • Supports order fulfillment process by processing orders, packing products, and shipping them to customers.
  • Receives and processes digital orders. This includes verifying the accuracy of the order, ensuring that all required information is included, and generating a download link for the software.
  • Provides customer service by answering questions and resolving issues related to all aspects of order fulfillment.
  • Assists with billing and Accounts Receivable (AR) tasks such as sending invoices, collecting payments, and managing customer accounts
  • Acts as a backup for warehouse staff in the event of absences – packing/unpacking orders, processing shipment documents, etc.
  • Act as backup for order fulfillment staff in the event of absences – processes, picks and packs orders.
  • Assists sales with support tasks such as preparing reports, converting quotes to invoices, and managing customer relationships.
  • Uses QuickBooks to track inventory, expenses, and sales.
  • Handles routine administrative tasks such as keeping office supplies stocked, stocking the kitchen/snacks, handling occasional catering requests for customer or vendor visits, birthday celebrations (once per month) etc.
  • Manages customer RMA requests.
  • Generates repair estimates and invoices.
  • Regular work site attendance.

Other Duties and Responsibilities:


  • Managing customer records. This may involve tracking the purchase history of customers, storing customer contact information, and managing customer feedback
  • Generating reports on customer support activities. These reports may be used to track customer trends, identify areas for improvement, or provide data to other departments
  • managing software licenses. This may involve tracking the expiration dates of licenses, renewing licenses, or deactivating licenses
  • Occasionally participates in special projects as assigned by various department managers or the chief executive.
  • Adhering to company policies, safety, and quality
  • Supports continual improvement efforts

EDUCATION and/or EXPERIENCE


Associate degree in business administration or similar.  In lieu of degree, candidate must demonstrate at least 3 years in an administrative assistant type role and have at least 2 years’ experience with shipping and warehouse functions.

COMPUTER SKILLS  


Individual must be PC literate and have the aptitude to learn operation of other computer systems.  Proficiency in Microsoft Office suite - Word, Excel, Access, PowerPoint, Outlook and other commonly used applications software is preferred.Experience with Shipping software required, especially UPS WorldShip and FedEx.com.Experience with ERP systems preferred, experience with QuickBooks a plusEmployment with Fujitsu is considered to be at-will, which means that both the employee and Fujitsu Frontech North America Inc.
