OVERVIEW:


This role will have two key responsibilities: Receptionist and Office Services Assistant. As a Receptionist, they will be responsible for answering and directing all incoming calls and visitors for the firm. They will assist with all internal and external meetings and coordinate closely with Dining Services. In addition, under general guidance from the Office Services Manager, the Office Services Assistant is responsible for receiving, maintaining inventory, mail distribution and providing services and supplies to meet the needs of the firm. 

RESPONSIBILITIES:


Reception: 


  • Must be both an excellent communicator and strong administrator, responsible for answering all incoming calls, greeting all visitors and routing incoming deliveries. 
  • Coordinates outside events i.e. Board meetings/external boards and organizations.
  • Schedule conference rooms and coordinate lunch requests. 
  • Maintain inventory of supplies for the front desk and meeting rooms. 
  • Assist with building access requests and serve as a primary point of contact with building security for visitor access. 
  • Ensure the cleanliness and presentability of meeting rooms and reception area. 
  • Performs other duties as required by position. 

Office Services Assistant: 


  • Ensure effective delivery of mail, and supplies to office staff. 
  • Ensures adequate coverage for external and internal deliveries and pick-ups (P.O. Boxes and Post Office, etc.). 
  • Coordinates centralized document scanning.
  •  Maintains Office Services inventory for mailing supplies, stationery items, kitchen and cleaning supplies. 
  • Supports Dining Services for relief during vacation or busy lunch days. Assists with serving and cleanup. 
  • Performs other duties as required by position. 

REQUIRED QUALIFICATIONS: 


  • High school diploma or equivalent is required 
  • 1+ years of work experience 

PREFERRED QUALIFICATIONS: 


  • Ability to communicate clearly, both orally and in writing
  • Working knowledge of computers including word processing and spreadsheets (MS Word, Excel) 
  • Ability to prioritize and organize multiple tasks 
  • Must be reliable and punctual 
  • Ability to lift 50 pounds 
  • Need for use of public transit and walking to make local deliveries
  • A candidate must have a basic knowledge of/be proficient in the following software: Microsoft Outlook, WebEx, Microsoft OneNote
