Job Summary
Responsibilities.
Facility Manage and organize the office:· Management of contacts and relationships with suppliers: renew or improve office cleaning and maintenance services, manage communications with suppliers· Schedule and plan office maintenance activities: contact the maintenance technician for ordinary or extraordinary maintenance activities· Leading relationship with the Landlord: contact the landlord in case of breakdowns or malfunctions of the air conditioner, fancoil, or emergencies· Monitor and maintain break areas & conference rooms in Milan office, organization, cleanliness, stock, vending machines, etc.;· Manage the overall relationship with supplier for the Milan office; manage staff access passes, desk reservations, meeting room reservations, etc.; ensure billing is addressed with Finance Dept;Back office support for Milan office : · Front office and general secretarial activities for the Milan office· Corporate buyer activities: purchasing contract management, vendor management, stationery management and miscellaneous procurement for offices· Archiving of digital and paper documents· Provide supports to the other department in organize events, catering, lunches or dinners· Organize the onboarding process for new hires: prepare documents, welcome kit, access badge assignment, insurance activation· Manage shipments by courier in Italy and abroad: send documents, welcome kits, computers· Process monthly attendance and meal vouchers: support colleagues in relation to requests for maternity leave, sick leave, holidays requests· Manage Health & Safety activities: organize mandatory medical visits, organize courses on safety, first aid and firefighting, maintain contact with RSPP and the health and safety supplier· Support to the Finance Dept in (customer reminders, invoice archive, VAT register control, sending customers invoices – check daily pec- others)
