Summary
This role is responsible for bid coordination and will support planning, organizing and delivering the complete process of responding to calls for bids (RFP, RFI, RFQ, etc). This role is also responsible for developing the response (submissions and renewals), more specifically for editing and reviewing the final document. This role must also work directly with the sales team to design, implement and document the company's RFP process.
Duties and Responsibilities
- Identify potential tenders on the market.
- Support review of bid requirements and possible solutions to meet them.
- Send information on potential tenders to Directors and Vice President.
- Support the Sales and Bid Desk teams in establishing an action plan to respond to calls for tenders with a schedule of activities.
- Assemble all the documentation related to the calls for tenders in order to prepare the response.
- Meet and consult with the sales and operations team regarding technical responses.
- Carry out the development and drafting of the tender response document.
- Closely monitor the process to ensure deadlines are met until the proposals are delivered to the Clients.
- Revise the response document to ensure the quality, consistency and clarity of submissions and renewals.
- Assemble the response documents and finalize the submission or renew it.
- Maintain a register of calls for tenders in Excel and Salesforce.
- Follow up on the status of current calls for tenders.
- Produce an internal manual to document and control the standardization of the process (steps, content and documents).
- Collaborate with the Sales team on the design and implementation of process improvements.
- Demonstrate initiative and support the sales team by participating in other projects.
- Other duties as required.
Requirements and Experience
- DEC in a related field or other relevant training.
- 2 to 4 years of experience in a similar or equivalent position
- Proficiency in French and English, both written and spoken preferred.
- Great skills in organization, planning and project management.
- Mastery of MS Office (Word, Excel, PowerPoint, Outlook)
