Description 
The Services Operations Coordinator plays a critical role in ensuring the smooth execution of service delivery operations within the organization. This role involves managing the review and consistency of Statements of Work (SOWs), updating project metrics, facilitating document signatures, setting up projects, and maintaining an accurate services pipeline. The Coordinator collaborates closely with the sales and internal service teams to support streamlined operational processes and ensure alignment with organizational goals. Responsibilities 

  • SOW Review and Consistency
  • Consistency Checks: Review Statements of Work (SOWs) to ensure there are no contradictions and that they adhere to organizational standards and templates.
  • Formatting and Grammar: Ensure that SOWs are properly formatted and free of grammatical errors, maintaining a high standard of professionalism in documentation.
  • Opportunity Tracking and Updates
  • Update CRM with SOW Metrics: Accurately enter the financial amounts and other relevant metrics from signed SOWs into the CRM or project management system.
  • Data Integrity:Maintain precise and up-to-date records of opportunities, ensuring consistency and reliability for reporting purposes.
  • Signature and Documentation Process
  • Manage SOW Signatures:Facilitate the process of sending SOWs for signatures to clients and internal stakeholders, ensuring timely follow-ups and completion.
  • Document Management: Ensure all signed SOWs are properly documented and stored for easy retrieval and future reference.
  • Project Setup and Initialization
  • Project Onboarding: Set up new projects in the project management system once SOWs are signed, ensuring that all necessary project details are captured and accurately recorded.
  • Coordination for Project Setup: Collaborate with relevant internal teams to ensure that project details are accurately inputted and the project is ready for execution.
  • Sales and Services Pipeline Coordination
  • Pipeline Management: Work closely with the sales team to keep the services pipeline updated, accurately reflecting current and future project statuses.
  • Planning Support: Assist in maintaining visibility into the service pipeline to support forecasting and planning for upcoming service delivery needs.
  • General Operations Support
  • Cross-Functional Collaboration: Support collaboration between sales, project management, and other departments to ensure smooth operational processes.
  • Operational Assistance: Provide operational support to various internal teams to facilitate the efficient execution of service delivery tasks.

Position Requirements Education 

  • Bachelor’s degree in Business Administration, Operations Management, Project Management, or a related field. and/or five years equivalent experience)

Knowledge & Experience 

  • Experience: Proven experience in operations coordination, project management, or a similar role, preferably within a service-oriented environment.
  • Attention to Detail: Keen focus on detail, particularly in reviewing documents for consistency and formatting.
  • Organizational Skills: Strong organizational and multitasking abilities, capable of managing multiple priorities effectively.
  • Communication Skills: Excellent written and verbal communication skills for effective internal coordination and documentation.
  • Technical Proficiency: Proficient in using project management software, CRM systems, and other relevant tools.
  • Analytical Ability: Ability to interpret data to support operational decisions and improve processes.
  • Industry Knowledge: Familiarity with industry-specific service delivery standards and practices.
  • Quality Assurance: Experience with quality management and document review.
  • Data Management:Proficiency in using data analysis tools for tracking and reporting service metrics.
  • Adaptability: Flexibility to adapt to a fast-paced and dynamic work environment.

Work Conditions 

  • Work Arrangement: This role may involve a combination of remote  and on-site work, depending on operational needs.
  • Flexibility: Ability to work flexible hours to meet urgent operational requirements and internal needs.
  • Internal Focus: The role primarily involves working with internal teams rather than direct client interaction. 55000.00 To 75000.00 (USD) Annually
