Who We Want:
We want a Transaction Coordinator II who reports to the Branch Manager and is responsible for providing support to their assigned Licensed Mortgage Professional (LMP). The primary focus of the position is to manage the administrative and loan processing duties of the Sales Department. The position serves as the initial point of contact for Homeowners current and potential clients and is a liaison between clients, LMPs, and Homeowners. The Transaction Coordinator II performs administrative or clerical tasks on behalf of the LMP assisting borrowers with basic questions. Per the SAFE Act, this position cannot participate in activities that require a Mortgage Loan Originator (MLO) License. Activities that cannot be performed in this position without a MLO License include: taking a loan application (ie. getting the borrower’s name, borrower’s income, property address, property value, desired loan amount and the borrower’s social security number); discussing rates/terms; requesting documentation that is required for the loan (ie. Paystubs, W2’s, bank statements, etc.).
Essential Duties:
- Oversees multiple aspects of origination, file management, communication, and the overall customer experience for their assigned Licensed Mortgage Professional (LMP)
- Maintains the file to ensure all the mandatory disclosures are completed and sent to the cooperating agent for the client's review and approval
- Checks for all initials, signatures and dates before marking the disclosures as final
- Ensures all pieces of the loan documentation are complete and reviews for accuracy, including information inputted by LMPs for data integrity
- Tracks loans to ensure files move from processing, underwriting, closing, and funding in a timely manner to meet LMPs’ deadlines
- Processes lock requests from LMPs and ensure accurate pricing before granting request
- Oversees and resolves post transfer issues identified through data integrity reviews, clients and/or Operations area
- Works with LMPs in determining pricing scenarios and negotiating price adjustments as necessary within the parameters as set by management and Homeowners
- Completes data inquiry and entry into Encompass
- Manages active pipeline with Processors and LMPs by reviewing key dates, monitoring expirations, and following up on with appraisal and title offers using various database management systems
- Assists LMPs in developing and maintaining relationships with borrowers, realtors, builders, financial planners, and other referral sources
- Promptly responds to customer inquiries and provides high customer service throughout the entire loan process
- Communicates general information to prospective applicants under the direct supervision of the LMPs
- Keeps LMPs updated with loan status and identify issues or risks that need attention
- Provides event and marketing support by preparing and distributing sales/marketing material to referral sources and clients
- Initiates marketing activities, calls, emails, online postings, face-to-face meetings, designed to prospect for new customers
- Assists LMP as needed in order to meet file closing deadlines. May include packaging and overseeing delivery of documents to Title companies, coordinating with agents to ensure their files are complete, communicating with clients for submittal of all required documents and funds, fulfilling ender requests for documentation, etc.
- Makes copies and orders titles, appraisals, and verifications
- Participates in Homeowners internal meetings and required trainings
- Maintains a professional image and demonstrates an understanding of and follows all Homeowners Policies and Procedures
- Other duties as assigned
RequirementsQualifications:
- High School Diploma or equivalent required
- Minimum 2 years of administrative, sales, and/or marketing experience required
- Prior mortgage sales and processing experience preferred
- Ability to read, analyze, and interpret financial data
- Proficient PC skills to include Excel, Word, and Microsoft Outlook
- Experience with Encompass/Optimal Blue/DU/LP and major origination systems preferred
- Working knowledge of real estate transaction requirements of federal and state agencies
- Excellent written and verbal communication skills
- Strong customer service skills to internal and external customers
- Ability to develop positive relationships
- Exceptional organization and time management skills
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Must be able to implement written procedures

Working Conditions:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This job may require handling objects up to 10 pounds frequently and 20 pounds occasionally. While performing the duties described herein, the employee is regularly required to sit; use hands and fingers to handle or feel in addition to talking and hearing. The employee is frequently required to stand and walk. The noise level in the work environment is usually moderate.
