JOB DESCRIPTION


Antares Capital is seeking an Administrative Assistant (Reception Concierge) to support the New York office and provide support for various business teams. This role will interface across all levels of the firm to enhance business operations within a local office, working closely with the teams, other Administrative Assistants, and other Executive Assistants.The Administrative Assistant (Reception Concierge) will also be responsible for providing employee-facing workplace services and front-of-house reception including but not limited to: greeting visitors in a warm and welcoming manner, answering and directing calls, assisting with transportation, advising on local attractions and other service-based or administrative tasks as assigned.

RESPONSIBILITIES


  • Welcome employees and announce clients, applicants, and visitors.
  • Responsible for responding promptly with accurate and thorough information according to the specific requests from employees and visitors.
  • Conduct a variety of front-of-house activities including:
  • Guest registration through badging software
  • Guest accommodation with luggage/coats, etc.
  • Provides visitors with information to navigate the building including pointing out nearest amenities and fire exits
  • Issues visitor passes and validates parking
  • Answers telephone in friendly, professional manner
  • Maintains accurate records of service requests and status
  • Receives and directs incoming calls to appropriate personnel/tenants and voicemail
  • Perform general administrative duties associated with distributing packages and mail as required.
  • Order and stock office supplies and other common use items for the location or common areas, such as café supplies, equipment toner, printer paper, freight and shipping supplies etc.
  • Provide support to the local business teams, including organizing, planning and executing team meetings, events/outings, lunches, team building events, staff meetings etc.
  • Coordinate and schedule internal meetings for executives.
  • Gather and prepare materials (printed and electronic) to ensure timeliness for meetings, including printing and binding of presentations
  • Coordinate and assist with collecting, aggregating and preparing data necessary for weekly departmental reporting and meetings; additional ad-hoc projects as necessary
  • Create, modify, and edit company presentations for executive committees and board materials
  • Manage travel and expenses; coordinate and arrange travel to minimize business and department impact
  • Complete and submit expenses for executives and key members of the departments
  • Coordinate with the Facilities and the Information Technology teams to ensure a positive and proactive employee experience
  • Perform other duties as assigned

QUALIFICATIONS


  • Bachelor’s degree preferred
  • 2+ years working as an Receptionist/Administrative Assistant
  • Displays a high degree of confidentiality, discretion and professionalism with strong client facing communication skills
  • Excellent organizational skills and the ability to manage multiple, competing priorities
  • Excellent written and verbal communication skills
  • Strong work ethic; comfortable working in a fast-paced environment
  • Highly proficient in MS Office; PowerPoint, Excel, Word

  • Must have unrestricted authorization to work in the United States

New York City Only: salary ranges are specific to market location; the salary range for this position is USD $70,000 to $85,000 and eligible for annual bonus.
