The Office Administrator is responsible for general office, reception, and administrative duties. As well as completing administrative tasks related to the finance department, human resources department, and sales department. The Office Administrator will manage activities contributing to the successful execution of Lumifi Headquarters Office. This position requires a person with demonstrated office management expertise, superior professional demeanor, and the ability to learn and accomplish a wide variety of day-to-day responsibilities that ensure success.
Ability to work in professional manner with a variety of teams supporting the organization is a must. The Office Administrator role is onsite, full-time, operating from the front desk.
Responsibilities and Duties
- Oversee and maintain the reception area.
- Meet and greet clients, vendors, candidates, new hires.
- Ensure the office has all needed supplies, consisting of ordering stationary, fully stocked kitchen, etc.
- Management of incoming and outgoing post and deliveries.
- Issue new employees and interns office keys, parking spaces.
- Maintain Lumifi calendar and schedule meetings.
- Input vendor invoice in the accounting system.
- Prepare and submit deposits and customer payment journals.
- Assist finance in month-end closing.
- Phone screen candidates.
- Schedule interviews and communicate with candidate.
- Process verification of employment through Rippling in person, and through E-Verify.
- Coordinate vendor and client visits with the sales team, including booking conference rooms and coordinating logistics.
- Support lead generation via targeted e-mail campaigns.
- Assist in the sending of NDA, LOI, referral agreements, quotes, and renewals through DocuSign, and properly filing once executed.
- Ad hoc duties as the need arises.
Qualifications
- 2-3+ years of meaningful work experience as an office assistant or related field.
- Excellent written and verbal communication skills
- Must possess demonstrated professionalism, customer service focus, strong organizational and interpersonal skills.
- Proficiency in the Microsoft Office suite (MS Word, MS PowerPoint, Teams, Outlook, and MS Excel) with particular emphasis on word processing, presentation, and spreadsheet applications.
- Ability to plan and execute work independently.
- Ability to drive and have reliable transportation during working hours.
