Administrative Assistant position available in the Corporate Legal Department at the Fairfax office! This position is a hybrid (remote and in-office) position, reporting to the Corporate Fairfax Office and occasionally to the Broadlands Office. The Administrative Assistant is a vital part of the Corporate Legal Team, responsible for ensuring the smooth operation of a busy office. The candidate will be responsible for providing administrative support to the Legal team and the ideal candidate will be a problem solver and possess a positive attitude and customer service mentality. The Corporate Legal Team consists of a General Counsel, two in-house attorneys, two paralegals and a legal assistant.
Key Responsibilities:
- Manage multiple fluctuating calendars by planning and scheduling calls, meetings, and conferences
- Prepare and coordinate documentation, reports, financial data, and handle logistics for meetings
- Track deadlines and meetings; prioritize conflicting needs, handle matters expeditiously, proactively
- Make travel arrangements, prepare expense reports, and purchase orders
- Revise legal documents as requested; word processing, formatting, and editing documents
- Facilitate the execution and delivery of legal documents
- Communicate with executives, investors and vendors with discretion, confidentiality, and timeliness
- Keep track of purchases and support credit card reconciliation worksheet
- Work with IT to troubleshoot office technology issues
- Create and process internal and external counsel legal invoices
- Oversee and reconcile monthly credit card invoices for multiple team members
- Order, stock and organize supplies
- Manage and oversee special projects for Legal team
- Perform other administrative duties as assigned
Requirements:
- 3+ years of experience in an administrative role, preferably in a professional office environment
- Proficiency in Microsoft Office Suite; experience with DocuSign and SharePoint is a plus
- Exceptional attention to detail and commitment to accuracy in all tasks
- Demonstrated ability to work independently, manage multiple priorities, and meet deadlines
- Self-motivated with a proactive approach to problem-solving
- Excellent communication and interpersonal skills
- Ability to thrive in a fast-paced environment and adapt to changing priorities
- Strong organizational skills and aptitude for learning new systems and processes
- Professional demeanor and ability to handle confidential information with discretion
Compensation and Benefits information:

- Salary: $50,000-55,000 annually (Pay is commensurate with experience, education, training, and skills)
