Tradeshow and Event Specialist

We are seeking a collaborative, self-starter Tradeshow and Event Specialist to join our fast-paced marketing team at Protenus. An ideal candidate would be execution oriented - taking each internal and external event from ideation to execution. This role would report directly to the Chief Marketing Officer and work cross functionally with members of marketing, sales and customer experience teams. This candidate would be responsible for Protenus’ presence at external in-person and virtual industry events, webinars, as well as internal events such as the sales & marketing kickoff, PANDAS user group meetings and customer engagement forums. They will work with team members to map out content, determine agendas, book and coordinate booth logistics, secure internal and external speakers, support event success and lead feedback with internal stakeholders to ensure best return on investment and quality of leads. They will have the opportunity to create their own process and track key performance indicators to review and recommend enhancements year over year.

Responsibilities: 


  • Establish what success looks like for Protenus at external and internal events - implement processes and instill a culture of excellence when it comes to our event presence
  • Execution oriented from start to finish - starting with ideation, culmination of content, managing logistics - all the way through to event execution, lead capture and quality of lead review
  • Partner closely with the members of the marketing team to determine the appropriate event presence - working closely with other members of the organization to secure external and internal speakers, as well as determine logistical needs
  • Maintain a company wide events and public relations calendar and work with the digital marketing team members to coordinate and promote events in a timely manner 
  • Track event engagement, RSVPs, booth traffic and lead promotion strategies alongside digital marketing to recommend changes to the Chief Marketing Officer and Chief Revenue officer on a regular cadence
  • Coordinate and host Protenus-hosted and sponsored webinars, including speaker coordination, “back-stage” management, recordings. Perform pre- and post-event coordination, including the capture of feedback from the sales team after each event. Manage industry memberships and sponsorships that enable additional method of brand awareness and thought leadership for target market
  • Manage budgets, including allocation of expenses, nogiration of costs and accurate event forecasting

Qualifications: 

  • 3+ years of event or event program management in Healthcare, Healthcare IT a plus
  • Experience planning and implementing internal and external, in-person or virtual events and/or conferences
  • Must be detail oriented and a skilled project manager with the ability to prioritize tasks, communicate updates and meet deadlines across multiple events at any given time
  • Ability to craft and write email communications dealing with event invitations, meeting scheduling and event briefs
  • Experience with Digital Marketing Platforms such as Hubspot, Salesforce etc.
  • Experience building presentations in Google Slides or Microsoft PowerPoint a plus
  • Zoom Events Experience preferred
  • Travel up to 30%
