POSITION SUMMARY
The Instructional Services Coordinator supports Hudson Global Scholars' online learning programs by managing live session support, substitute teaching, teacher scheduling, teacher onboarding, and substitute teacher operations. This role assists the Instructional Management team in ensuring positive online learning experiences for students, teachers, and clients.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
The functions and responsibilities for this position include, but are not limited to:
- Monitor live classes, troubleshoot issues, ensure successful instructional sessions, and support teachers with access to resources and materials.
- Serve as a substitute teacher for last-minute vacancies and maintain a pool of qualified substitutes, ensuring high-quality sessions for students and clients.
- Facilitate the launch process for live teaching sessions, confirm instructor assignments, and maintain accurate schedules, staffing assignments, and session notes.
- Secure and schedule teachers for live and asynchronous sections based on qualifications and capacity, and implement HGS substitute teacher protocols.
- Coordinate with program managers, registrar, and support teams for section assignments, live session scheduling, and preparation, while collecting substitute needs and filling sessions as required.
- Assist with new-hire processes, including log-in credentials, initial training, and supporting new teachers during training, section preparation, and initial sessions.
- Maintain an accurate database of teachers, including contact information, qualifications, availability, and assignments.
- Support the Instructional Management Team with resources to ensure smooth operations and assist with the department's weekly newsletter, including updates, resources, and best practices.
- Post messages and updates to internal Professional Learning Community channels to foster collaboration.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS
The qualifications and skill requirements for this position include:
- Bachelor's degree in education, instructional technology or a related field
- Minimum of one year of teaching experience, preferably in an online setting
- Ability to troubleshoot technical issues during live sessions
- Proficiency in Learning Management Systems (LMS) and online learning tools such as Zoom
- Experience working in online education or instructional coordination/operations preferred
- Strong organizational skills
- Highly effective communication skills
- Comfort and familiarity working with databases, learning management systems, online delivery platforms, scheduling tools and Microsoft Office
- Proven experience working with operational systems and inter-departmental processes
- Ability to multitask and prioritize effectively in a fast-paced environment
- Knowledge of best practices in virtual instruction and teacher support
- Willingness to work flexible hours, including evenings, overnights, and weekends to support international students.
