McChrystal Group is a management consulting firm seeking an Office Coordinator to welcome and facilitate an exceptional experience for all who walk through our doors. This role will serve as the first point of contact at our headquarters, managing the flow of visitors and ensuring that all receptionist responsibilities are cared for accurately, promptly, and with a focus on quality. The Office Coordinator will also support multiple Partner calendars and email accounts, furthering our business and the experience of our team.

Responsibilities:
Receptionist Responsibilities
- Greet and welcome guests as soon as they arrive at the office, directing and announcing them appropriately.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Manage the conference room booking system and assist in meeting preparations.
- Provide administrative support to various teams and assist with ad hoc projects as needed.
- Maintain a clean and organized reception area.
Office Coordinator Responsibilities
- Schedules and coordinates meetings, calls, and events with internal and external parties, making all required arrangements.
- Communicates and resolves scheduling conflicts that might arise. Keeps a strategic eye on what meetings are necessary for each Partner to attend and coordinates coverage and updates if Partner is unavailable.
- Prioritizes emails and responds when necessary.
- Builds a streamlined process for daily prioritization, communication, and execution within the partners.
- Reserves flights, accommodations, rental cars.
- Coordinates drivers and other support staff to ensure smooth operation of the trip.
- Processes all travel expenses and reimbursements for Partners.
- Develops and logs accurate time and expense reporting for Partners through the ERP system in support of timely submission.
- Coordinates internal team and client meetings, including planning and scheduling, identification of best way to join different groups and manage all associated communications.
Qualifications:
Education
- High School diploma or equivalent required; Associate degree preferred
Experience
- Two or more years of administrative or hospitality experience required
- Two or more years supporting executive level stakeholders
Skills
- Proven proficiency in Microsoft Word, Excel, PowerPoint and Outlook
- Strong written and verbal communication skills

- Work in-person, onsite in Old Town Alexandria five days a week.
