Headquartered in Burlington, ON, and through its multiple subsidiaries across North America, Europe, Africa, and Asia, Anaergia is trusted at more than 1,600 installations globally.Job Overview:The Administrative Assistant will be responsible for supporting the Facility Manager with the administration of the Rhode Island Bioenergy Facility (RIBF).Job Responsibilities:

  • Procurement of Bulk Chemicals, issuing PO, schedule delivery and keep record of delivery
  • Procurement and stock up of PPE, supplies, groceries, stationaries, cleaning
  • Record keeping of all incoming deliveries.
  • Coding and documentation for material purchased at the facility.
  • Invoicing of customers and supporting documentation.
  • Report- Document Management (scan, save, file, archive) of all meeting reports, visitor sign in sheets, vender timesheets, odor monitoring check sheet, daily operator round sheet, weekly chemical stock sheets.
  • Report and coordinate all incoming loads. This position is the point for all scheduling, invoicing, reporting, and communication for incoming loads of raw materials (up to 40 truckloads per day).  Communication includes to the customers and internal reporting.
  • HR- onboarding training of all employees to cover safety and company policies. Storage and reminders of licensing requirements.
  • HR- keep records of employee personal information (address, SIN number, vaccination records, employment contract).
  • Responsible for coordinating disposal of used oil/lubricants, spent lab consumables (such as vials, filters), and spent chemicals
  • Ensuring all safety data sheets are up to date and posted in the right location
  • H&S- Work with the Facility Manager to ensure fire safety plan, emergency management plan and site safety plan are available and updated as needed
  • H&S- Supervise and ensure record keeping for all LOTO is compiled and
  • SOPs- Keep all forms organized and up to date (version control).
  • Admin- custodian of all plant keys, tagging of all locks and Ensuring the right key boxes always have the right set of keys
  • Perform other duties as assigned with respect to procurement, accounting and general office duties:
  • Submit new vendor approval requests and
  • As a part of Plant Operations Documentation, ensure work orders are closed out on Computerized Maintenance Management System, update inventory of spares and consumables, and prepare Purchase Orders to replenish
  • Administrative support – including timesheet generation, receiving parts and spares, supervising housekeeping assignments and communicating with superiors on plant performance.

Education and Experience

  • At minimum: Holds a Diploma in any related discipline
  • Minimum of 5 years’ experience at any office and admin role
  • Expert understanding of all MS Office tools and ability to adapt to new digital tools

Technical Skills

  • Management of office

  • Fluent in English
