Job Description:


The Executive Assistant will provide comprehensive executive-level administrative support to ensure the smooth operation of the OCIO Office of the Director, Customer Experience Office, and Digital Services Office. This role is essential for maintaining routine operations, especially as staff continue to use maximum telework flexibilities and work remotely.  

What You Will Do:


  • Develop methods for tracking and analyzing administrative functions to identify and mitigate common issues and delays. 
  • Maintain electronic calendars, including scheduling and coordinating meetings, resolving meeting conflicts, and rescheduling meetings as needed. 
  • Provide an expedited checklist for the onboarding process to ensure new OCIO staff navigate the process efficiently. 
  • Assist with leadership travel arrangements by researching locations, providing cost estimates, and preparing travel arrangements via Concur. 
  • Schedule and track contractor and project touchpoints to maximize efficiencies across workstreams and activities. 
  • Collect and analyze data from various sources and enter data into multiple formats, including Excel spreadsheets and Word documents. 
  • Plan special events or large meetings, ensuring logistics are covered and agendas are developed. 
  • Prepare daily briefing folders with concise outlines of anticipated events and notes on special issues. 
  • Assist with various reports and data calls. 
  • Maintain and update office files and systems. 

Requirements

What We Will Need:


  • Bachelor's degree in Business Administration, Management, or a related field. 
  • Minimum of 5 years of experience in executive-level administrative support. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Experience with Concur or similar travel management systems. 
  • Excellent organizational and time management skills. 
  • Strong written and verbal communication skills. 
  • Ability to handle sensitive information with discretion.
